Description *The Opportunity: * We are seeking to hire a full time/40 hour Administrative Specialist - ACT to join our Administration Team. Under the supervision of the Director of Administration, this position supports a team of mental health professionals (MD, RN, APN, and Case Manager) in the day-to-day treatment of clients. Performs a variety of clerical/administrative support tasks requiring proficiency in the use of Microsoft 365 programs. What You'll Do: Attend assigned team meetings and accurately record and transcribe minutes for the record, with grammatical proficiency. Collect and process data to update and maintain the Electronic Health Record (EHR). Schedule appointments as directed for staff and/or clients utilizing the EHR. Process various forms, documents, reports, memoranda, etc. using Microsoft Word and Excel clearly, concisely, and accurately. Is able to learn new software programs as necessary. Organize and compile information into files, paper and electronic records, and reports in order to make them readily accessible to self and others as necessary. Assist others, including the public, by providing related assistance, answering and/or referring questions appropriately to a satisfactory conclusion. Observe all rules of confidentiality as it relates to client information (HIPAA) both internally and in dealing with outside individuals and/or agencies. Responsible for being knowledgeable about client rights and procedures governing them. Maintain a courteous and professional manner with both internal and external customers. This position is full-time (40 hours a week) working normal business hours. What We're Looking For: High school diploma/GED required. Experience with training/courses in secretarial/business, keyboarding, office machine operations, and office procedures. Intermediate level efficiency in the use of spreadsheets (Excel) and navigation within the Office 365 environment, including Sharepoint and Teams. Basic level skills in the use of databases to include running reports and accurate data entry. Demonstrated ability to assimilate information (phone calls, emails, texts, reports) from multiple sources in a prescribed manner. Experience taking accurate notes/minutes from a verbal source. Ability to keep pace in a fast moving environment involving daily interaction with multiple team members. Excellent organizational, attention to detail and communication skills. Ability to work in a team environment. Commitment to confidentiality, following rules of HIPAA. Proficiency in Microsoft Outlook. Skill in managing time and meeting deadlines.
