Executive Assistant I (Grade 17) Engineering & Information Technologies Division Overview: The Executive Assistant I assist with the day to day administrative and support functions for the Engineering & Information Technologies Division, one of the four academic divisions at Cincinnati State Technical & Community College. The Executive Assistant I collaborate with other administrative support personnel to ensure smooth operations and optimal service to students, faculty, and visitors. The environment is fast-paced and student-focused. The schedule may vary depending on Divisional needs during peak enrollment periods. Essential Duties: Provide administrative support to the associate dean(s) Provide high-quality customer service experience for students and visitors Maintain front office appearance Maintain general supplies, and pick up and distribute mail and duplication requests Answer telephone calls and direct them to the appropriate person or take a message as required Perform and track outreach and recruitment activities (phone/test outreach, mailings, emails, etc.) Divisional event planning Assist clerical assistant with divisional text messages. Monitor and respond to email and voicemail messages Schedule appointments and answer general questions Assist in maintaining calendars for advisors and faculty Assist faculty and advisors to set up and maintain Outlook and Starfish calendars Prepare and send routine mailings and correspondence Adjunct onboarding, orientation, and communication Provide clerical support to faculty, program chairs, and cooperative education coordinators Submit work order requests on behalf of faculty and staff Work directly with pathway advisors and programs chairs to prepare students for advising and registration Attend Divisional Meetings and activities Provide general administrative duties as assigned Train and assist in supervision of student employees Establish annual goals relevant to job expectations consistent with the goals of the College and Division Attend and contribute to assigned college committees Other appropriate duties as assigned Minimum Qualifications: High School Diploma or equivalent Two (2) years of administrative assistant experience in a professional office setting Competency in the Microsoft Office Suite: Outlook, Word, Excel and PowerPoint Ability to work in person 8:00 a.m.- 4:30 p.m. with flexibility which might include opening office as early as 7:30 a.m. or closing the office as late as 6:00 p.m. and occasional evenings/weekends during peak enrollment periods Preferred Qualifications: Associate's degree in a relevant field from an accredited college Four (4) years administrative assistant experience in higher education especially a community college setting Experience with Ellucian Colleague, Starfish and Microsoft Outlook Desired Competencies: Demonstrates ability for punctuality and reliability Self-motivated with well-developed organization and planning skills Demonstrates sensitivity to students with diverse academic, socio-economic, cultural, and ethnic backgrounds, and students with disabilities Excellent customer service skills Ability to handle complex situations with diplomacy Manage projects independently as assigned by supervisor. Adaptable, attention to detail, and resilient under pressure Demonstrates excellent organizational skills and written/oral communication skills Ability to work effectively individually and as a team player with the ability to build effective and collaborative relationships Strong interpersonal skills and the ability to communicate effectively with a diverse professional community and student population Details: Department: Engineering & Information Technologies Division Employment: Full-Time Title/Position: EA 1 Reports to: Associate Dean Compensation: $19.21/hr.
