The Medical Coordinator is responsible for performing the highest quality of clinical and front office duties to support patients and providers. Open to no experience but has an interest in healthcare, teamwork experience, and detail oriented with a flexible schedule. Schedule: F ull time, 30+ hours. Availability Monday through Friday during business hours of 7am-7pm with rotating Saturdays: 8am-2pm. Open Flexibility to help cover in a team environment is needed. Medical Assistant/ Patient Coordinator (Medical Coordinator) Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients, respective providers, and fellow colleagues. Lead by example, maintains office presence and highest level of professionalism. Have a thorough working knowledge of all standard operating protocols and policies. Assists provider in medical, cosmetic and laser procedures and have thorough knowledge of all clinical treatments to appropriately care for the patient's needs. Proficient in pre-care and post-care treatment instructions. Fully understands provider to patient flow and anticipates provider's next steps to the best of their ability. Check all equipment at the beginning of each shift and maintain all treatment rooms before and after patients, ensuring all is in proper working order. Daily scan of retail and cosmetic products and medical supplies and alert team and GM of any low-level supplies as needed/requested. Perform inventory responsibilities and stocking of supplies and equipment as requested. Complete all SDGU required training to learn and adhere to new workflows including but not limited to Klara paperwork, patient notifications, and patient messaging. Assist the physician in medical, cosmetic, and/or laser procedures. Preps exam rooms for all procedures and properly cleans exam rooms after every visit. Properly assists provider in recording prescribed treatments, medications, lab requisitions, biopsies, cultures, photos, prescriptions, prior authorization, obtaining consents, and/or procedures within established guidelines. Take payments, book follow-up visits, and track inventory used during visit as needed/requested. Execute working knowledge of HIPAA privacy laws by protecting patient information during phone calls, discussing information quietly with patients at front desk or defer to a GM to discuss matters with patient in an exam room, and shredding sensitive materials. Assist in ensuring the creation of new medical records for each patient. Obtain all necessary copies of insurance cards, referrals, and demographic information. Responsible for completing Daily Activity Report and proper financial duties such as entering charges and payments throughout the day. Responsible for accurate cash handling with Petty Cash & collected payments. Scan all cash & credit card receipts into respective folder. Verify proper cash is collected and accounted for during your shift and at close each day; sign off on Cash logs and deposit cash in office safe/lock boxes before closing. Responsible for answering incoming phone calls within three rings, confirming ZocDoc appointments as well as making outgoing calls for patient retention purposes. Maintain neat and orderly work area throughout the office, keeping sensitive patient information out of view and shred once uploaded into EMR. Remove waste as needed. Constantly check your email inbox, respective scan inbox, handling time sensitive emails immediately or communicated need for support to GM/teammates. Other duties as assigned by supervisor on an as needed basis. Qualifications 6 months - 1 year of experience working in a dermatology/medical environment preferred. Experience using EMR software and patient scheduling systems preferred. High School Diploma/GED required. Advanced related education encouraged. Medical Assistant certification strongly encouraged. Must be computer savvy and familiar with Microsoft, Word, Excel and Outlook. Strong communication, interpersonal and organizational skills. Must be professional, reliable and dedicated employee. Open availability to work during office and/or scheduled hours. Working knowledge of HIPAA & OSHA compliance
