Description: *This is a hybrid role (3 days onsite at the main BWH campus in Boston, MA and 2 days work from home)* GENERAL SUMMARY: Under the direction of the Clinical Operations Manager, the analyst will provide data analytics and project management to the BH Department of Anesthesiology, Perioperative and Pain Medicine Clinical Operations Team. The analyst will be responsible for providing advanced-level analysis, dashboards, and reports that support staffing, quality, administrative, and operational programs and activities. The analyst will demonstrate initiative and creativity in accessing, aggregating, and analyzing data, and provide support to department leadership in managing, interpreting, and visualizing data. This position requires the ability to engage in systematic problem solving and innovative thinking; high attention to detail; customer focus and excellent communication; and a tolerance for ambiguity, changing priorities and unexpected events. The analyst will also be involved in anesthesia scheduling office backup coverage, faculty incentive tracking, project management and other activities related to department clinical operations. The ideal candidate will have both strong analytical skills and communication skills, as well as experience working with health care data. This individual will also possess a willingness to learn and an ability to adapt to the rapidly changing analytic and reporting needs of the department. The ideal candidate will be detail-oriented, able to work independently, and exercise direction and judgment to complete work by appointed deadlines with minimal supervision and possess the ability to effectively manage multiple projects. In addition, the analyst must be able to identify trends in data and understand how to investigate and present data to offer informed solutions to department leadership. RESPONSIBILITIES: DATA MANAGEMENT AND ANALYSIS: Provides financial, clinical, and scheduling analytical and reporting support for all clinical areas including ORs, procedural locations, Critical Care Units, and Pain Management locations. Develops and maintains operational and financial reporting tools (e.g., Tableau dashboards, summaries, and other internal performance reports) as needed to monitor activities and metrics and to inform the ongoing evaluation of existing projects and initiatives, for both internal and external audiences. Performs ad hoc analysis and reporting for the department's clinical and billing activity; creates pivot tables, charts, and graphics to support data requests. Produces and maintains management data related to the operational needs and projects. Provides support for new initiatives, departmental forecasts, and operational decisions by analyzing key performance indicators, drafting models, and creating forecasts. Completes thorough quality assurance procedures ensuring accuracy, reliability, trustworthiness, and validity of work. Monitors data collection to ensure proper collection and storage of data. Develops approaches for ensuring data quality. Presents analytical findings in a variety of formats (reports, PowerPoint, graphs, figures, tables), formulate recommendations, and effectively communicate results to non-analytic audiences. Effectively interacts with all levels of management throughout the organization as well as the Chief, Executive Director, Vice Chairs and Division Chiefs. Effectively communicates and presents issues to internal leaders. Requests, receives, extracts, enters, monitors, analyzes, and reports data and other types of written input for various projects and initiatives. Assists subject matter experts in design and implementation of analyses. Assists with and leads other analytical assignments and ad hoc reporting as required. Stays informed of the changing data environment to ensure accurate data extraction. CLINICAL OPERATIONS PROGRAM SUPPORT: Performs ad hoc and monthly audits for the attending physician and moonlighting fellow incentive program. Supports the faculty clinical commitment program including updating and maintaining dashboards and reporting for physicians. Acts as a QGenda (scheduling software) super user for department. Runs automations and schedules; manages updates for clinical staff schedules. Attends meetings with department leadership as needed. Takes meeting minutes, assigns action items, and completes follow-up. Supports BWPO Quality Incentive Program data needs including creating eligibility lists and monitoring metric completion data. Acts as a backup scheduler and trainer in the Anesthesia Scheduling Office as needed, ensuring the production of an accurate daily schedule for over 250 clinicians (attending anesthesiologists, CRNAs, fellows, residents, SRNAs and external clinical rotators). Acts a backup to the Clinical Operations manager as needed in all aspects of clinical operations activities within the department. ADDITIONAL DUTIES: Performs special projects and/or other duties as assigned. Develops and participates in projects to enhance clinical operations. Qualifications: QUALIFICATIONS: Bachelor's degree required and an interest in healthcare and the use of data analysis to support clinical care. 2+ years of healthcare related experience and working with healthcare data required. Strong analytical, organizational, interpersonal, and demonstrated customer service skills required. Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and the willingness and ability to learn new applications as required. High proficiency with Tableau Data Visualization software required. SKILLS/COMPETENCIES REQUIRED: Time Management: Exceptional organizational skills and ability to organize time and priorities effectively, asking for direction when appropriate. Interpersonal/communication: Excellent interpersonal/communications skills and a good command of English language, including medical and scientific terminology. Professional knowledge: Demonstrated ability to manage a busy office environment within the context of a large medical center and health care delivery system. A high degree of social facility in obtaining cooperation and support from a broad range of people. Ability to take initiative, exercise decision-making skills and prioritize workload. Ability to manage multiple tasks and reestablish priorities as necessary. Ability to work independently with minimal direction and in a team environment, and interact with individuals in various roles including physicians, nurses, administrators and staff. Analytical Skills: Ability to conceptualize, conduct, and present complex analysis (financial and operational). Information Systems/Technology Skills: Exceptional computer skills (including operating systems, word processing, database, electronic mail, Internet, spreadsheets, OR Scheduling, and other office management systems).
