Administrative Assistant/Office Manager Looking for a long term temp with possibility of hire after 6 to 12 months to work for a quantitative tech company. They are looking to add a part-time Administrative Assistant to the team in their New York location. The ideal candidate will be someone personable, with previous experience in a similar industry, a start-up, marketing, communications, or a social media role. This role will work closely with the firm's HR and Legal teams, and will support all teams. This role has the possibility to expand the candidate's experience in office management, event planning, accounting, and organization. Though they are a small company, they are growing very quickly, creating high potential for growth, including the expansion of this role. This is a part-time and in-office role, that requires 20 hours of work per week, from 9am-1pm, Monday-Friday, when it goes perm, the hours will be from 9:00 am to 5:00 pm. Responsibilities: Greeting guests in a friendly manner, offering to take their coats, and offering them refreshments Pantry upkeep: ordering and organizing snacks, drinks and supplies, as well as daily maintenance of all machinery Clearing guests through security and sending in work orders to the building if issues arise Assist teams in booking travel accommodations Assist with office improvements and aid in the overall positive office environment Receiving deliveries, and sorting through and distributing mail daily Overseeing the deliveries of breakfast, lunch, and dinner, all of which are catered daily. Maintaining reception area and all common areas in a clean and tidy manner at all times Taking inventory of office supplies and restocking/organizing as needed Shipping packages globally via FedEx and DHL Planning and coordinating events for both individual teams, as well as full-office events Working with our Functions team in the Chicago and Amsterdam offices Qualifications: 2-3 years previous experience working in a similar position is a hard requirement for this role. The ideal candidate will be highly organized and works well under pressure. They will be someone who enjoys working hard. Multi-tasking is a required skill as it is used daily, and former experience working in fast-paced environments is helpful. The ideal candidate will be self-driven and take ownership of projects with great attention to detail The ability to actively be on-foot for a full shift is a requirement for this role. The ideal candidate will be someone who likes to find and provide creative solutions to problems Experience working with Microsoft Office is preferred.
