Your Mission: As the Senior Services Operations Coordinator, you will play a crucial role in increasing efficiency and productivity within the Senior Services team. Reporting directly to the Director of Senior Services, you will be responsible for implementing strategies, assisting with recruitment, ensuring quality assurance, and providing coverage when needed. Your contributions will directly impact the success of our In-Home Services Program and Adult Day Services. To hear about: CASL's history,watch here CASL's future,watch here Your Impact: As a Senior Services Operations Coordinator, you will: Key Responsibilities: Recruitment, Onboarding, and Training: Develop outreach strategies and promote In-Home Services via mass media and community events in target and emerging areas. Collaborate with CASL departments and external organizations to coordinate resources and services. Attend job-related training sessions provided by CASL, IDOA, or other entities. Program Administration Assistance: Assist with generating program reports and dashboards on key indicators of program outcome, efficiency, and effectiveness using Salesforce. Enter client efforts and case notes into the Salesforce database as needed. Provide coverage when programs are understaffed. Facilitate a team approach to serving seniors comprehensively. Maintain service quality by: Coordinating monthly In-Service/Pre-service training schedules and recruitment of Home Care Aides. Handling client and staff complaints and resolving issues. Networking with Case Coordination Units (CCUs), Managed Care Organizations (MCOs), and other In-Home Service providers for information exchange and program development. Monitoring Salesforce and Electronic Visit Verification (EVV) System for data entry requirements. Support for Director of Senior Services: Assist in planning, implementing, and evaluating programming according to agency policies and funding source requirements. Prepare bi-monthly reports for the Management team on program activities, challenges, and successes. Assist with regular program evaluation efforts to ensure high-quality services. Update standard operating procedures to ensure compliance with the Illinois Department on Aging (IDOA), Illinois Department of Public Health (IDPH), and Managed Care Organizations (MCOs). Prepare files and documentation for internal and external audits. Assist with developing and monitoring the program budget and expenses. Work with the Billing Specialist and program staff to correct billing issues and review payments promptly. Other Duties: Respond to agency needs by performing assigned tasks beyond the standard job description. Tasks of a non-temporary nature will be added to the designated job responsibilities list as needed Must Haves To thrive in this role, you should have: Education & Experience: Bachelor's degree in Social Work, Psychology, or a related health or human services field. At least three years of supervisory experience. Skills & Knowledge: Proficiency in both English and Chinese (Cantonese, Mandarin, or Taishanese). Understanding of seniors' physical and psychological changes. Demonstrated supervisory skills Proficiency in using various computer software programs. Self-directed, self-motivated, and positive 'can-do' attitude. Exceptional organizational skills, attention to detail, and project management proficiency. Ability to adapt and work in a dynamic, changing environment. Client-focused and customer service-driven. Ability to maintain confidentiality as per CASL policies and State of Illinois regulations.
