Reports to: Senior Director of Hospitality Direct Reports: Hospitality Specialist - Catering Position Overview: The Catering Manager will focus on managing and coordinating communications with clients and ArtsQuest teams through the BEO, diagrams, meetings, and day of operation alongside ArtsQuest teams and the Food & Beverage service partner. The Catering Manager will also work alongside the hospitality team and as well as internal ArtsQuest team members to develop new clients, repeat business, and social clients to contribute to sustainable growth in revenue as well as reaching and exceeding yearly department goals. Focus on exceptional guest experiences and effective communication to ensure successful events. Work will possibly occur 365 days a year and hours will vary depending on the events. Requirements Responsibilities: Manage all aspects of hospitality events with food service, operations, and production at ArtsQuest venues and festivals proactively anticipating and exceeding client needs through effective communication and decision-making. Collaborate with Food & Beverage service partners to plan and execute all private event catering needs. Organize details for all events - from reviewing/completing all intake details/paperwork documenting clients' specifications to finalizing details, acting as onsite contact day of the event as scheduled, and managing communications/updates as needed from the client throughout the entire planning process. Create, update, and review all BEO's and diagrams for all hospitality events. Assist internal departments in accurate BEO and diagram creation as needed. Manage weekly BEO meetings to communicate all ArtsQuest programming and events to the entire ArtsQuest team throughout the organization for a ten-day period. Maintaining and updating ArtsQuest & Food & Beverage service partner Reserve system. Collaborate with the team to respond to inbound inquiries and site inspections. Manage the finalizing of all details for events - responsible for working with teams to ensure all communication deadlines are met for client's events. Assist Food &Beverage service partner in creating custom menu and details for events, as well as yearly updates to current online menus. Collaborate with ArtsQuest team members on generating new leads, researching new business, working with area businesses to grow hospitality sustainable revenue. Liaison with clients to execute events and full contract requirements. Work alongside the Food & Beverage service partner and ArtsQuest teams to develop successful events through detailed planning. Work with Sr. Director of Hospitality on hospitality department forecasting, budgeting, and business maximization strategies to ensure sustainability. Oversight of Hospitality Specialist-Catering in confirming end-of-month financial details match Food &Beverage service partner and ArtsQuest financial reports. Lead all ArtsQuest teams as needed to ensure successful events during planning and day of execution. Set clear performance goals, conduct regular evaluations, and implement development plans for team members. Create a positive work environment by fostering team spirit, recognition, and engagement. Address team issues or disputers professionally and in a timely manner, fostering a culture of collaboration. Guide the team through any organizational changes or process updates, ensuring a smooth transition. Knowledge, Skills and Abilities Required: Bachelor's Degree in Tourism and Hospitality Management, Recreation/Parks and Tourism Management or another relevant field At least 3 years of work experience in a similar field (hotel, restaurant, performing arts center, catering, etc.); lead generation experience a plus. Must be self-motivated, energetic, organized, and flexible. Must be an excellent manager of time and priorities and process information quickly. Excellent interpersonal skills and the ability to work with guests, clients, and team members to exceed customer expectations and build relationships. Ability to take and give direction in a clear and concise manner. Ability to work independently and in a team setting. Exceptional decision-making and problem-solving abilities; process-oriented. Proficient knowledge and working ability with Microsoft Office Suite; Word, Excel, Power Point, Outlook; Raiser's Edge and Financial Edge experience a plus. Ability to work flexible hours including evenings, weekends, and holidays, as necessary. Ability to work long hours when needed will be required to meet the objectives and goals of the hospitality department and organization.
