POSITION SUMMARY: This position provides administrative support primarily for the Family Health and Communicable Disease team, as well as support and coverage for the entire Marathon County Health Department including front desk reception. Work hours are primarily 8:00 a.m. to 4:30 p.m., Monday - Friday with some evening work. The ideal candidate will possess skills in critical thinking and problem-solving, be well-versed in technology options, and be excited to learn and apply knowledge and skills for the betterment of department administrative systems and workflow. This position reports to the Director of Family Health and Communicable Disease. QUALIFICATIONS: Required: High school graduation or equivalent and 2 years clerical office experience; OR equivalent combination of related post-high school education and experience. Experience using Microsoft Excel and Microsoft Word. Driver's license and a driving record that meets County standards; OR ability to obtain reliable transportation as needed. Preferred: Post-high school education or training in the field of Administrative Professional, or similar field. Experience with medical terminology or a medical background. Assume responsibility for office procedures without frequent supervision or specific assignments. Manage work time effectively by prioritizing work assigned by multiple managers and staff. Perform moderately complex work and work free of error on tasks requiring a high degree of accuracy. Prepares and enters deposits for a variety of services following clerical and accounting controls established for the procedure. Responds to requests for assistance and provides required information by collecting, analyzing, and summarizing information. Operates office equipment, including computers, fax machines, copiers, and scanners. Serves as a resource to colleagues for the use of databases and Microsoft Office software. Prepares various documents, spreadsheets, correspondence, forms, and reports. Organizes information into suitable formats. Supports and participates in quality improvement initiatives. Assists with the implementation of new systems and special projects. Participates in outreach and promotional activities including creation of fliers and promotional documents and staffing outreach events. Participates in establishing professional development goals that are supportive of broader County goals. Maintains regular and predictable attendance; works extra hours as required. Performs related work as required. EXAMPLES OF WORK PERFORMED: Manages referral processes by tracking incoming referrals, creating and closing charts, and providing timely updates on referral status to external partners. Performs accurate data entry across various computerized systems, spreadsheets, and multiple database applications to ensure data integrity. Compiles, organizes, and analyzes data for the production of reports, correspondence, and other required documents, as directed by management. Schedules and manages client appointments for health services provided through the department, ensuring optimal coordination of resources. Serves as receptionist providing accurate information and superior customer service, with a comprehensive understanding of available health department services. Coordinates billing and claims processes by reviewing requirements, developing systems to collect the necessary data, and submitting claims for reimbursement in a timely manner. Conducts inventory and supply management including regular inventory assessments, drafting purchase requests, and ordering supplies.
