Job Description: The Program Advisor is responsible for advising and preparing students to study abroad with Arcadia Abroad. The Program Advisor will engage and empower students as they advise them on academically appropriate programs and prepare them for a high quality study abroad experience. The Program Advisor will manage the application process and administrative deadlines for students throughout the application process and guide students through pre and post acceptance applications for host institutions, housing and visas, and they will deliver programming and orientations to prepare, excite and engage students prior to departure. The Program Advisor will also work closely with parents, home school advisors, and colleagues in The College domestically and abroad to deliver the best engagement, support and administration of programs within their portfolio. Location: Glenside Responsibilities : Student Engagement (Advising, Retention & Preparation) Advise and excite students preparing to study study abroad on academically appropriate programs within their program portfolio and support them in completing their applications Advise students on a wide range of topics related to their successful time abroad including but not limited to student wellness, engagement opportunities abroad, credits, grades, finances, special needs, housing, travel and visas. Work with home school advisors to discuss and resolve curricular issues for students. Correspond with students and parents regarding problems or concerns before, during and after program participation. Elevate any serious issues to their supervisor for resolution. Develop an understanding of cultural context and country knowledge for their portfolio to ensure exceptional advising to students, advisors and parents. Maintain a general knowledge-base regarding all programs administered by The College. Assist with the management of assigned and additional programs when necessary in order to assure the satisfactory completion of the work of The College. Program Administration Maintain accurate and up to date knowledge of individual program application requirements within their portfolio. Ensure this information is accurately represented to students, advisors and others. Manage the application processes and administrative deadlines for students applying for study abroad including conferring acceptance, coordinating submissions, and determining rejection or diversion for assigned programs. Liaise with U.S. university partners and campus advisors to ensure applicants are completing any process required by their home institution to obtain institutional approval. Collaborate with overseas partner institutions and overseas centers to advance application processes and to coordinate the submission of individual applications based on the requirements of the partner institution. Ensure that the program and country-specific information available from The College is current and accurate. Assist with the preparation of website, publication materials, student portal, program catalogs, form letters and other standardized materials, tailoring them to individual programs as necessary. Monitor partner university websites for new information and ensure accuracy of The College's website and publications. Programming and Outreach Deliver engaging, fun pre-departure virtual orientations for students each term. Collaborate with colleagues throughout The College to deliver accurate pre-departure information such as appropriate policies, procedures, participation and travel requirements in engaging ways. Promote exciting courses, co- and extracurricular events, and other experiences to excite and empower the student as they prepare for their experience. Participate in TCGS-hosted on- and off-campus events, as well as pre-departure orientations and informational sessions held at Arcadia University or U.S. partner institutions. Participate in recruitment initiatives and study abroad fair coverage in conjunction with Institutional Engagement staff. Collaborate with The College of Global Studies staff to develop and maintain exciting student campaigns and other promotional materials. University Representation and Professional Development When assigned, serve as a representative for on-campus faculty and administrative committees as appropriate. Make a reasonable effort to become and to remain an informed professional in the study abroad field. Read current newsletters and literature, attend and participate in local, regional and national professional conferences, when possible. Remain informed of world events, academic and cultural issues within relevant countries. As funding permits, participates in site visits, national and regional conferences Marginal Functions Other Duties as Assigned Support the Associate Director of Advising and Student Engagement as needed for college-wide initiatives. Support the maintenance of team resources and documentation on MyTCGS and other communication platforms. Qualifications : Minimum Qualifications: Bachelor's Degree or equivalent combination of education and work experience required. Required Knowledge, Skills and Abilities Proven ability to establish an appropriate mentoring/advising relationship with college-age students. Excellent problem-solving and analytical skills with proven ability to prioritize and multi-task to meet goals and deadlines Ability to effectively work and communicate with a variety of stakeholders, including parents, campus advisors/faculty and program providers. Demonstrated ability to work with different computer operating systems, software and social media platforms. Ability to focus on administrative tasks with attention to every detail in order to produce accurate and precise results in critical areas such as application submissions Preferred Qualifications or Skills Two years of professional experience strongly preferred; Experience in a higher education or study abroad setting preferred Experience engaging, advising and/or supporting underrepresented or non-traditional students is desirable Experience with, or willingness to learn, a CRM system (Salesforce) Some evening or weekend work may be required during busy administrative times in the application and pre departure cycle Application Instructions : Applications must be submitted online through Arcadia's Human Resources portal to receive full consideration.
