POSITION SUMMARY: Supports the mission of the Economic Success and Family Stability programs by coordinating the flow of information, best practices and outcomes reporting across programs. The program administrator role is critical in developing relationships across the organization to help ensure program goals. This individual will act as the point of contact for program engagement. This program administrator will serve in the following capacity: Serves as the operational project manager for events, initiatives, and outreach efforts that harness the resources of economic success and family stability programs and ensures smooth collaboration and resource sharing among teams. Records and publishes minutes within 24 hours of weekly management team consults ensuring commitments agreed to and deadlines are included. Assembles and manages in Outlook a master Programs Team Calendar that includes the renewal date, expiration date, and reporting dates for all grants. The Programs Team Calendar will also include all program and departmental meetings, graduations, Group Interactions (GIs), outreach events, alumni special events and other milestones that relate to the mission of programs. Uses communication tools to manage communications and relationships with key stakeholders, current and prospective funders, community partners and prospective partners and CFUF friends. (Relationships with members will continue to be managed via Apricot). Serves as the administrative lead for compiling documents related to internal and external audits and file reviews. Serve as the administrative liaison to the Grants and Grants Compliance Manager. This includes coordinating the gathering of compliance related documentation, ensuring appropriate formatting, and assembling it for content review by the Director of Programs prior to submission to the Grants Compliance Manager and funders. POSITION RESPONSIBILITIES: Independently handle a variety of administrative projects under the direction of the Director of Programs. Work with the Director of Programs to better align services, serve as a hub for communications; and provide staff support for CFUF programs, including scheduling, creating meeting arrangements, and taking and distribution of minutes. Draft and send correspondence to stakeholders on behalf of the Director of Programs to include event invitations, regular touch posts and follow up notes. Assist in coordinating external communications and performing auxiliary support functions such as employer partner retention and outreach marketing materials. Work closely with Programs Team to support positive CFUF member outcomes. Actively participate in team review meetings and assist in developing strategies for CFUF programs Coordinate Programs Team related staff outings and events, including working closely with operations staff to coordinate events. Performs and/or oversees regular chart audits, record keeping, and other reporting and documentation functions as assigned to ensure that all records are maintained Maintain updated records and ensure all account management activities are documented (hardcopy and electronically). Be able to coordinate and work on projects. Manage external program content to ensure quality assurance standards are met. Collaborate with marketing & outreach team to promote programs and with partner organizations to improve services to clients Ensure the integrity of program data, verify that case files are accurate and up-to-date, and analyze data for grant reports as needed. Conduct program budget management, which includes allocating expenses to grants, compiling receipts, and submitting documentation, in accordance with each grant's requirements. Review grant budget tracking record to assess budget reallocation options and to ensure program compliance with criteria. Participate in DHS, SNAP E &T by offering deliverable billable activities to members. Record accurate time and effort logs as it relates to DHS, SNAP E & T activities and efforts. Support occasional late and weekend hours. Perform other duties and tasks as assigned. KNOWLEDGE, SKILLS, & ABILITIES: BA/BS Degree Preferred. Years of experience may be substituted for educational requirement. At minimum, 3 years' experience in an intensive administrative capacity. At least 2-3 years of experience working with disadvantaged individuals, in a workforce and/or job placement setting. Must display ability to handle multiple tasks efficiently. Working knowledge of Excel, Outlook and Microsoft Word applications is required. Confidentiality compliance must be always maintained. Must have excellent written and verbal communication skills. Must work well within a team and independent environment, as well as value a collaborative work setting. Strong data management skills, with priority attention to detail. Some knowledge of budget management. Knowledge of working with electronic databases a plus (i.e. ETO and/or Apricot). Must be resourceful, resilient, and tenacious with a high level of personal integrity and passion for CFUF's mission to achieve Family Stability and Economic Success.
