Position Type: Support Staff (Non-Union)/Non-Union Position Date Posted: 10/15/2024 Location: Plant Operations Department Date Available: TBD Closing Date: Until Filled Position / Title: Office Manager - Warehouse Bargaining Unit: NON-UNION Department/Location: Plant Operations Work Days: 261 Reports To: Logistics Coordinator JD Revision Date: 10/15/2024 Supervises: N/A Function / Position Summary Coordinate and support all requested matters pertaining to Warehouse office management and logistics, ensuring alignment with the district's operational goals. Facilitate clear communication between warehouse staff, procurement staff, building administrators, and other district stakeholders. Support and guide the logistical functions of the warehouse, including coordinating deliveries and tracking inventory. Support warehouse and procurement staff including administrators for these departments to ensure smooth operations, particularly in areas such as inventory control, logistics, procurement, warehouse budget, project management, and office staff objectives and effectiveness. This position will also handle customer service and vendor communications, ensuring effective coordination with external partners and stakeholders. Job Duties / Responsibilities Manages and supports the day-to-day operations of the warehouse, including but not limited to food service deliveries, freight management, inventory and logistical coordination. Promptly addresses telephone and email inquiries, ensuring that departmental inquiries are satisfied in a timely manner. Assists in reconciling purchase orders and confirming receipt of product in the ERP system. Provides high-level administrative support and collaborates with other operational departments in support of the schools. Assists in the management, distribution, and closing of work orders. Aids in the asset management process, supports inventory and ensures accurate records, and maintains applicable records. Assists in developing and maintaining staff assignments, route information, and other pertinent operational information. Assists in the coordination of warehouse events and meetings, prepares agendas, and takes meeting minutes for administrators and other personnel within the department. Acts as liaison and support to the procurement department Develop and maintain electronic data and resource files in support of departmental initiatives, including the Warehouse's Standard Operating Procedures. Monitor the General Office Supplies budget, pre-approve requisitions, and approve invoices for payment. Provide high-level administrative support to operations administrators overseeing the warehouse and procurement in support of the department's strategic goals. Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments. Manage confidential documents, contracts, and other critical information as needed. Manage and facilitate approval of administrators' reservations and travel arrangements for staff development per the district policy. Travels throughout the district in support of the department's operations as needed. Other duties as assigned. Education Bachelor's degree in a related field preferred (or extensive professional experience equivalent). Experience / Knowledge Proficient at keyboarding and not limited to Google Chrome, Word, Excel, PowerPoint, and Adobe Software. Knowledge of accounting terms, spreadsheets, and practices. Knowledge of business/purchasing practices. Knowledge of School District U-46, its schools, departments, and programs. Skilled in high order mathematical fundamentals and calculating. Attention to detail and accuracy. Maintain confidentiality. Problem solving skills. Able to work independently. Understand and be able to utilize the various web-based applications. Three years or commensurate experience or more as an office manager. Financial, Construction Project, and Office Administration knowledge background. Bilingual preferred Physical Demands Ability to work at a computer over a major portion of the work day. Ability to work in a fast paced and stressful environment. Ability to lift, bend and kneel. Must be able to lift file boxes weighing up to 25 pounds. Flexibility in scheduling is required to meet the needs of the department. Terms of Employment This is a 12- month position. Salary and benefits as established by the Board of Education. Salary Information The full salary range for this position is $41,142.40 - $61,713.60. It is our typical practice to hire in between the minimum and midpoint ($51,417.60). 8 hours per day Benefit / Pension eligible
