Job Description SUMMARY : Reporting to the Associate Dean for Student Success & Strategic Partnerships, the Program Associate provides administrative support and program coordination for the Associate Deans and assists with the smooth and effective functioning of the Dean's Office. PRINCIPAL DUTIES AND RESPONSIBILITIES : Support the Associate Dean for Student Success & Strategic Partnerships on matters related to recruitment, admissions, and enrollment. Support the coordination of enrollment events and initiatives for the College including: Open House events, Accepted Students Day events, various Information Sessions, Orientation events, and other major university events. Assist in the coordination of enrollment outreach and compilation of related data. Produce admission and enrollment reports. Manage the Associate Dean's calendar, schedule meetings, and provide administrative support as needed. Maintain all curriculum-related documents and update tracking sheet for incoming and outgoing curriculum. Serve as a liaison to the Graduate and Undergraduate Curriculum Committee Chairs and Provost's Office for communication and updates related to curriculum proposals and approvals. Monitor Course Information Management (CIM) system to ensure courses are moving through each phase of the workflow in a timely manner; follow-up as needed. Assist the Internal Research Review Committee with scheduling meetings, managing files, and other administrative support. Assist in the creation and dissemination of election ballots for college committees. Develop and maintain a database of information on all external partnerships and engagements (internship, career placement, adjunct partnerships). Coordinate Student Advisory Board meetings and communications. Support the coordination of the College's Annual Awards Ceremony and assist the College with planning for the University Commencement ceremonies. Assist in the coordination of community/stakeholder initiatives and events. Collaborate on the collection of faculty/staff accomplishments for use in College marketing and public relations materials. Assist with website and social media content creation. Performs other duties as assigned. Management retains the right to change or add job duties at any time. QUALIFICATIONS : REQUIRED : Bachelor's degree from an accredited college or university. A minimum of one year of professional experience in a higher education setting or similar organization. Proficiency in Microsoft Office (Excel, Word and PowerPoint) and ability to quickly learn new applications, software, and technologies. Exceptional organizational skills. Experience working with and serving diverse populations. Excellent written and oral communication skills. PREFERRED : Familiarity with various university systems: Workday, Banner, Google suite, Qualtrics. Demonstrated experience managing multiple projects with competing deadlines.
