The Operations Coordinator provides critical customer service as well as support for facilities management, security and guest services coordination at the Level 1 reception desk of the School of Continuing Studies downtown DC Campus during the evening shift. S/he provides evening reception duties and requires excellent customer service skills to be provided to staff, students, faculty, and visitors at SCS during the high volume evening shift. The incumbent will greet and check in visitors, provide direction, and answer questions regarding SCS operations and class schedules, as well as work closely with evening security and provide operational support to the Evening Operations Manager as needed. Working closely with the Events team and the Daytime Facilities Coordinator to ensure support and transparent transitions for internal and external events, additional duties include, but are not limited to: Front Desk Reception Provide high level customer service to all SCS stakeholders during shift. Ensure students, faculty, and staff are adhering to the building access policies. Coordinate closely with SCS security staff on security issues and provide emergency response efforts with SCS security staff and building security staff. Direct visitors as needed for meetings with SCS staff. Maintain logs of all equipment, keys, and other organizational needs to ensure a functional front desk environment. Log packages and notify staff, assisting faculty and students in troubleshooting basic classroom audio/visual system problems. Administrative Support & Report issues Provide administrative support to the Operations Team during shift and event and facilities support when needed. Manage supplies and mail distribution, responding to phone/email inquiries in a timely manner. Troubleshoot any problems that arise with manager on duty, security or GUPD. Log all issues during coordinating shift and communicate any urgent issues to senior Operations Staff. Provide daily report on all issues during coordinating shift and provide adequate and appropriate follow up, as needed. Facilities Management Troubleshoot operational issues during coordinating shift, reporting all operational issues to Executive Director, the Director of Facilities, and Security. Manage physical equipment needs for offices, workstations, classrooms, common areas, and furniture storage. Make recommendations for repairs and purchases to make improvement to the facility. During evening shift, carry out relevant building closure procedures. Assist in special requests related to facilities. External Events Coordination Assist in setting space and equipment for External Events during the coordinating shift. Assist event staff in enforcing University policies for event attendees. Coordinate all internal communication needs relevant to external events in SCS space. Coordinate execution of external events and minimize conflicts with ongoing SCS programs and events, troubleshooting any issues as they arise. Ensure appropriate break-down and event clean-up. Work Interactions Daily interaction with other Operations Coordinators, Director of Facilities, Executive Director of Operations, security team, SCS staff, students, faculty and visitors; Close collaboration and communication with SCS security team; Communication with facility vendors; And all SCS employees are required to support Tropaia and Commencement. Requirements and Qualifications Bachelor's degree Two to four years of progressive administrative experience in educational setting preferred Demonstrated ability to provide very high levels of customer service, professionalism and time management skills Knowledge of University offices, computers and financial systems Proficient in Microsoft Office and comfortable responding to telephone and email inquiries Familiarity with Google Workspace tools (Gmail, Google Drive) Demonstrate proficiency in the use of University protocols and student policies Strong problem-solving skills, time management skills, attention to detail, strong verbal and written communications skills, enthusiasm and ability to work effectively under pressure A detail-oriented team player and able to manage multiple tasks Strong interpersonal skills with a friendly, helpful demeanor along with a willingness to enforce the University's policies Work Mode Designation This position has been designated as On-Campus .
