Location: This position will be on-site full-time in Providence, RI. The position holder will need to be within commuting distance (within 45 min). Administrative Associate Summary: The Administrative Associate is responsible for supporting the purchasing department with administrative tasks and projects. This role also serves as back-up support for the customer service supervisor. Administrative Associate Duties and Responsibilities: Tracks purchase orders to confirm receipt and reviews certificates of compliance. Matches various documentation to ensure purchase order, related certifications, and quality records are received, proofread for accuracy and completeness, and in order. Enters purchase orders, printing and emailing purchase orders. Checks on the status of deliveries. Completes filing. Assists with updating information in Purchasing ERP system. Uses Excel to assist with project forecasts and tracking. Provides backup support as needed to the customer service supervisor with duties such as but not limited to: Processing and confirming customer purchase orders, reviewing sales orders to ensure accuracy, update / revise sales orders as needed, and maintaining customer quote files within ERP system. Performs all other duties as assigned or needed. Administrative Associate Qualification Requirements: High School diploma, or general education degree (GED), and 1-3 years' office work experience. Strong attention to detail. Organizational skills Ability to multi-task. Detail oriented and accurate. Pleasant and welcoming demeanor. Experience with Microsoft Outlook, Word and Excel and ERP systems desired. Familiarity with personal computers and computer hardware such as printers, keyboards, 10 key calculators and scanners.
