SUMMARY : The Billing Assistant Role will assist attorneys with bill preparation and client support related to the billing function. A function of the role will also be accounts receivables and daily accounting functions that supports the success of the internal accounting department. The Billing Assistant will ensure proper and accurate client billing and excellent client service and satisfaction for the attorneys and Firm. This is a full-time, on-site position requiring outstanding attendance and punctuality. This position is non-exempt. DUTIES AND RESPONSIBILITIES - Billing Assistant : Processes client bills using Pre-bill Viewer and paper bills via Firm software. Research and answer accounting and billing questions as needed. Review and edit pre-bills in response to attorney and assistant requests in a timely manner Execute, handle and process a high volume of complex bills Review and verify accuracy of billing documentation as required. Assist with other special projects, ad hoc reports, and activities as needed, and perform additional duties as assigned. Works with attorneys and secretaries to prepare bills according to client specifications. Will be assigned to specific attorneys but may provide back up to other billing assistants. Apply payments to individual accounts and prepare bank deposits. May provide backup for other accounting-related positions. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED : Basic Principles of standard billing and accounts receivable concepts, practices, and procedures, the processes involved and related applications. Prepare clear, complete, accurate and logical written correspondence using proper sentence construction, grammar and punctuation in order to communicate effectively. Establish and maintain effective working relationships with staff and attorneys, clients and any third-party billing groups. Strong attention to details. Exceptional organizational skills and ability to multitask and manage time effectively. Position also requires the ability to work under pressure to meet strict deadlines, effectively prioritize multiple tasks. Candidate must be a self-starter who can work independently with minimal supervision. Ability to anticipate work needs; proactive in identifying accounting issues and providing solutions. Operate a variety of standard office equipment, including a personal computer, a variety of computer software and other office equipment that requires continuous and repetitive eye and arm or hand movement. Strong interpersonal skills and ability to communicate effectively with the accounting team and attorneys. A professional demeanor and presentation is important. Willingness to own mistakes and work towards progress. EDUCATION AND EXPERIENCE : Associate Accounting Degree or equivalent experience in Accounting, Finance, or related field preferred. Experience in accounting, finance, billing or related field. Experience working in a client support or professional services environment strongly preferred.
