Job Title: Administrative Associate II Job Specialty: Administrative Support Job Duration: 13 Months Shift: Monday to Friday, 9 AM - 5 PM Guaranteed Hours: 37.50 per week Experience: 4+ years related administrative or business experience License: Not Applicable Certifications: Not Applicable Must-Have: - Detail-oriented- Telephone customer service skills- Organization skills- Administrative assistant expertise- Proficiency in MS Office Suite (Intermediate level)- Associate's degree or equivalent experience (Bachelor's preferred)- English proficiency (speaking, reading, and writing) Job Description: - Research, locate, and compile information for reports.- Assemble and categorize figures for computation and Prepare statistical reports and monitor budgets and grant Maintain departmental employee files and ensure compliance with regulatory standards.- Initiate and follow through on human resources and payroll transactions.- Generate weekly payroll submissions and maintain liaison with human resources and payroll to resolve issues.- Assist in planning and logistical arrangements for forums, conferences, seminars, meetings, and visiting professorships.- Assist in the development and coordination of informational packets for participants.- Transcribe and distribute minutes.- Investigate, evaluate, and resolve typical administrative or operational problems.- Ensure adequate restocking of departmental supplies and requisition merchandise.- Collaborate with Purchasing to secure the best pricing for equipment and supplies.- Track expiration of vendor contracts and renew as needed.- Serve as a liaison with other departments or external parties to accomplish objectives.- Participate in the completion of grant applications, special projects, and survey Make travel arrangements and prepare travel reimbursements and expense reports.- Screen and prioritize incoming mail for action and follow-up.- Screen telephone calls, answer inquiries, or direct callers Screen and schedule patient appointments and manage patient billing records.- Perform other related duties as required.Please note: Light-medium lifting may sometimes be required, such as bringing trays of pathology slides and blocks from storage to the laboratory and assisting in transferring pathology materials to long-term storage.
