This position involves overseeing administrative functions, ensuring the smooth operation of the office environment, and supporting the clinical and administrative staff to provide high-quality care to our patients. The ideal candidate will be organized, detail-oriented, and able to manage multiple tasks efficiently. Responsibilities Administrative Oversight: Manage and coordinate office activities, including scheduling, correspondence, and communication. Oversee the maintenance of office supplies, equipment, and facility upkeep. Implement and maintain office policies and procedures to ensure efficiency and compliance with regulations. Staff Supervision: Supervise and support administrative staff, including receptionists, clinicians, and other support personnel. Conduct regular staff meetings, provide and organize training, and address performance issues as needed. Conduct annual performance appraisals. Patient and Client Relations: Handle patient inquiries, complaints, and appointment scheduling with professionalism and sensitivity. Ensure patient records are accurate, up-to-date, and compliant with confidentiality regulations. Assist in coordinating patient referrals and liaising with external providers as needed. Financial and Operational Management: Assist with billing, coding, and insurance claims processing to ensure accurate and timely reimbursement. Monitor office expenses and assist with budget preparation and financial reporting. Maintain and manage electronic health records (EHR) systems and other administrative databases. Compliance and Quality Assurance: Ensure that the facility adheres to all relevant regulations and standards, including HIPAA , COMAR and other healthcare compliance requirements. Prepare for and support accreditation and licensing inspections. Reporting and Documentation: Prepare reports on office operations, staff performance, and patient satisfaction as required. Maintain accurate and confidential records of office transactions and communications. Collaboration: Work closely with clinical and administrative teams to ensure effective communication and coordination. Participate in facility meetings and contribute to strategic planning and improvement initiatives. Qualifications Education: High school diploma or equivalent required; associates or bachelors degree in business administration, healthcare management, or a related field preferred. Experience: Minimum of 3-5 years of experience in office management, preferably in a healthcare or behavioral health setting. Skills: Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in office software (e.g., MS Office Suite, EHR systems). Familiarity with medical billing, coding, and insurance processes. Knowledge of behavioral health regulations and compliance standards is a plus. Personal Attributes: Compassionate and empathetic demeanor, with a commitment to supporting patients and staff. High level of integrity and professionalism in handling sensitive information. Ability to work effectively in a fast-paced and dynamic environment.
