Position: Executive AssistantCoordinator (Global Law Firm) (replacing old APC role) Location: New York, NY (Hybrid WFH)Company: Globally Recognized AM 100 Law FirmComp Package: Base salary to $110K, Paid Overtime, Full Benefits, Bonus, Tuition Reimbursement, 401K+, etc.Summary for Executive AssistantCoordinator:This position will be responsible for providing concierge-style, high-level assistance to attorneys and clients, which includes handling administrative tasks, extensive travelvisa coordination, business development and other complex tasks and projects, while collaborating with other Firm departments and team members to ensure superior client service.This firm is committed to being the employer of choice by working together to create an environment, in which each of our people can grow, take initiative, and develop a fun, fulfilling and financially rewarding career. This is a great opportunity to join a growing team!Responsibilities for Executive AssistantCoordinator:Handle administrative functions including screening client calls; managing files, attorney calendars, and time records; and preparing attorney expense reportsAnticipate attorney needs by proactively identifying potential issues and conflicts and take the initiative to offer solutions and preempt needsAssist with preparing materials for presentations and conferences.Coordinate complex travel requests including the procurement of visa-related materials and passport renewal applicationsConsult with the Firm's support departments and internal staff at all levels, verifying the accuracy of completed workAssist with calendaring and scheduling requests (domestic & international)Organize and facilitate conference and video callsPrepare engagement letters and new matter memos for new clients and mattersAssist with new-business conflicts processAssist in promoting business development, entering business activities and coordinating with Marketing departmentRequirements for Executive AssistantCoordinator:Bachelor's Degree preferred3+ years of related experience in a law or professional services firmProficiency with Microsoft Excel, Word, and PowerPointDemonstrates effective interpersonal and communication skills, both verbally and in writingAbility to work independentlyAbility to handle sensitive matters and maintain confidentiality
