Requirements Description of Role: Reporting to the Director of Older Adult Protective Services (OAPS) this position is responsible for secretarial duties for the OAPS department. Required Experience and Education: Education: 2 years of college or equivalent experience Experience: A minimum of one year of experience in general office work Job Responsibilities: a. Provides support to Director, Supervisors, and other staff of the department. b. Represents the department and agency in a courteous and professional manner with commitment to the highest degree of confidentiality. c. Type from handwritten material, rough draft, and corrected copy including charts, graphs, forms using word processing system, compose and type routine correspondence, transcribe material using Dictaphone equipment. d. Record, report, and maintain attendance. e. Meeting set-up. f. Order, receive, and keep track of office supplies. g. Prepare and maintain mailing lists. h. Greets and directs scheduled and unscheduled visitors. i. Answer Protective Services telephones in a courteous, professional manner with an awareness of the daily schedules of Protective Services staff. j. Relay telephone messages to staff members. k. Enter Protective Services client statistics in computerized client systems. l. Prepare monthly aggregated reports and collect, record and aggregate other Protective Services service statistics. m. Manage and keep up-to-date filing system, to include all unit files such as case records, correspondence files and files of background material and resources. n. Distribute incoming and outgoing mail, inter-office memos and other written material. o. Adhere to confidentiality standards of the Older Adult Protective Services Act and PCA. p. Contributes to upholding a highly supportive team culture. q. Other duties assigned. Professional Characteristics: Must pass a physical exam; drug and alcohol screening; and a criminal background check. Must have effective communication skills, both oral and written.
