GENERAL RESPONSIBILITIES Serve as the administrator for all information technologies that support the business functions (accounting, purchasing, payroll and human resources) of Roanoke City Public Schools. ESSENTIAL TASKS The following duties are normal for this position. Develop and maintain a thorough knowledge of the primary business systems that support the business functions of the division. These business functions may include but are not limited to: Accounting Purchasing Accounts Payable Payroll Human Resources Student Fee Payments Print Shop Print Requests Establish and maintain user guides that incorporate the systems' technical processes with internal procedures. Set up or disable system users as needed. Establish and carry out a process for maintaining up-to-date employee information within the systems, including but not limited to: Ensuring seamless data transfers of employee information between the HR database and the timekeeping system, student information system, emergency notification system and others; Maintaining appropriate security settings for user access and approval queues for purchase requisitions, new job requisitions, employee timecards, and print shop printing requests. Develop and conduct trainings for new employees/users of these systems. Provide technical assistance and troubleshooting support to users as needed. Conduct testing and quality assurance to ensure business systems meet the specified requirements. Work closely with the RCPS Technology Department on system configuration and technical requirements. Assist the Technology Department with implementing and managing security measures to protect business systems from threats. Serve as a liaison between RCPS and system vendors when technical issues or questions arise. Conduct analyses of business system designs, functionality, and internal processes to ensure we are maximizing the systems' benefits. Ensure regular data backups are performed and that disaster recovery plans are up to date. Research and recommend new processes, procedures, or technology systems to increase operational functionality and efficiency. Coordinate the implementation of any new business information technology systems that may be deemed necessary, including but not limited to system set-up, training of all appropriate staff, and establishment of new internal procedures. Assist business departments with data reporting needs. Provides feedback and ideas on methods to improve processes. Performs related work as required. KNOWLEDGE, SKILLS AND ABILITIES A high skill level in the use of a personal computer and word processing software, databases, spreadsheets, and report generation; a knowledge of the structure and workings of business information technology systems, particularly enterprise resource planning software; a working knowledge of basic business functions (ex. purchasing, payroll, accounting) and operations (experience with or a knowledge of governmental business operations is preferred); the ability to analyze processes and systems and research best practices; clear written and verbal communication skills; customer service skills working with employees across multiple departments within the school division and with external vendors; knowledge of training techniques; the ability to lead training workshops; and the ability to work independently. EDUCATION AND EXPERIENCE Bachelor's degree in business information technology, Business Administration, or a related field; or equivalent combination of education and work experience. Experience working with Keystone ERP and UKG Ready time management system preferred but not required. PHYSICAL REQUIREMENTS Work is primarily in a clean, temperature-controlled office environment and requires a high level of visual work and repetitive hand and waist motion. Some standing, walking, moving, climbing, carrying, bending, kneeling, crawling, reaching, handling, pushing, and pulling.
