This individual will manage all communication with customers who have inquiries, service requests, or require quotes for ongoing or new projects. The Sales Coordinator position is a hands-on, fast-paced role that demands strong organizational skills and the ability to balance multiple priorities. As a key point of contact for our customers, this role involves frequent interaction, ensuring client needs are met efficiently and professionally. Additionally, the Sales Coordinator will play a vital role in refining procedures to improve accuracy and streamline operations in the department, contributing to the overall success of our service delivery. What You'll Do: Sales Team Support : Assist Sales Representatives in preparing proposals, contracts, and presentations for clients. Client Communication : Serve as a liaison between salesmen and clients, handling inquiries, scheduling meetings, and providing follow-up communications. Project Documentation : Organize and maintain accurate project files, including quotes, orders, contracts, and any client correspondence. Track Project Progress : Monitor project timelines and deadlines, ensuring that all stages of the sales process are completed on time. Order Processing : Coordinate the entry of sales orders and track order status, ensuring accurate processing and timely delivery of products or services. Coordinate with Departments : Work with internal teams, including Project Managers and purchasing, to ensure seamless project execution and client satisfaction. Report Generation : Prepare sales reports, forecasts, and pipeline updates for salesmen and management to review progress and performance. CRM Management : Maintain and update customer relationship management (CRM) systems with current data and project details. Scheduling & Logistics : Assist in scheduling site visits, product deliveries, and installation dates, ensuring alignment with the project timeline. Follow-up on Payments : Help track and follow up on client payments and billing status, collaborating with the finance team as needed. Sales Strategy Support : Contribute to brainstorming sessions and strategy meetings with the sales team, offering administrative and logistical support. Customer Service : Handle customer issues or concerns promptly, ensuring satisfaction and problem resolution in coordination with the sales team. Qualifications What You'll Bring: Experience in the HVAC/plumbing industry is preferred. Some coordination experience is also preferred. Natural strength in communication with people from varying backgrounds over different platforms including telephone, email, and in person. Reliable in both action and attendance. Highly organized and detail oriented. Ability to multitask and make decisions. Fluent English speaking and writing skills. A desire to learn and grow within our company.
