If that describes you, keep reading!SUMMARY:We are looking for a competent Office Manager to perform various accounting, administrative, and clerical tasks to support our office. You will undertake a variety of activities in the office ranging from full-cycle accounting, filing, answering the phone to shipping, receiving, and maintaining the office environment. An effective Office Manager has the ability to work diligently to help maintain smooth office operations. You must be reliable and hardworking with great communication skills. The ideal candidate will also be familiar with office equipment and procedures. The successful candidate will train with our office staff to support our organization which has over 80 years of collective experience in ultrasound transducer manufacturing.REQUIREMENTS: Classify, record, and summarize numerical and financial data to compile and keep financial records, using journals and ledgers or computers. Match order forms with invoices and record the necessary information. Reconcile the company's bank statements and bookkeeping ledgers. Manage income and expenditure accounts. Establish bookkeeping and recordkeeping systems and structures. Collect, count, and disburse money, and complete banking transactions. Complete and mail bills, contracts, policies, invoices, or checks. Process and prepare documents, such as business or government forms and expense reports. Generate the company's financial reports using income and expenditure data. Calculate and prepare payments for utilities, taxes, and other payables. Monitor status of loans and accounts to ensure that payments are up to date. Transfer details from separate journals to general ledgers or data processing sheets. Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures. Prepare and complete purchase orders. Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers. Answer telephones, direct calls, and take messages. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer. Compile, copy, sort, and file records of office activities, business transactions, and other activities. Review files, records, and other documents to obtain information to respond to requests. Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail. Compute, record, and proofread data and other information, such as records or reports. Complete work schedules, manage calendars, and arrange appointments. Type, format, proofread, and edit correspondence and other documents, from notes or other sources using computers and software. Inventory and order materials, supplies, and services. Deliver messages and run errands. Oversees and keeps records of all shipping and receiving. Responsible for organizing, sorting, and transferring goods from one location to another. Prepare meeting agendas, attend meetings, and record and transcribe minutes. Train other staff members to perform work activities, such as using computer applications. Count, weigh, measure, or organize materials. Make travel arrangements for office personnel. Experience with accounting software (i.e., QuickBooks, Peachtree/Sage) highly preferred Other duties as assigned.PHYSICAL DEMANDS: The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
