The primary responsibilities of the CPA Operations Administrative Processor are to provide administrative, data processing, and document management support to the CPA entity internal and external customers.This role will process work utilizing workflow system, standards and quality control measures to ensure accuracy of all processing.During the tax season (Jan-mid-April), the work schedule may fluctuate, and overtime (including weekend hours) may be required.This position will also perform back-up receptionist responsibilities. 35% Data Processing Enter client information and data into various software systems, including set up of client records. Ensure information is entered/updated correctly. Print client financial, payroll reports and related payroll tax forms. Submit client tax and other related payments to appropriate agencies. Set-up new clients and convert existing clients as needed into various software systems. Including, but not limited to formatting financial statements, letters and other reports to meet the needs of the client. Support the tax process by e-filing and filing extensions as directed. 35% Administrative Support Proof, type/format correspondence, mail merge documents, and scanning of documents. Format and finalize financial statements, management letters, AUP reports, creating PDF's, adding watermarks (print/copy/assemble). Copy/assemble/mail deliver tax returns, producing a clean, high quality product. Prepare mass company mailings to clients. Copy/assemble training materials and work on special projects. Assist administrative coordinators, other depts. with work overflow, as assigned. Provide back-up coverage for various office duties as needed which could include mailroom, receptionist, and administrative duties. 30% Document Processing Scan, index, and auto-flow client data into software systems. Maintain, retrieve, re-file, and purge paper client files according to firm policy and procedure. Log in client information that has been supplied by client and route to according to process standards. All other duties as assigned. Education: High School Diploma or equivalent. Experience: 2-3 years prior office work experience required, preferably in an accounting field. Specialized knowledge: Business office procedures.Accounting/bookkeeping knowledge preferred.
