The Opportunity: The Executive Administrator's (known as Senior Business Support Administrator at HKA) overall responsibilities will be focused on the more complex, detail-oriented administrative tasks. They will be supporting our Washington, DC Partners and other professional staff, as well as help oversee and manage general office administration. We are looking for someone with a clear track-record in similar roles, preferably in a professional services firm. The position will require being on-site 4-5 days per week, including overtime as needed. Responsibilities: You will primarily own •Time and expense entry •Calendar management •Complex business travel arrangements •Meeting coordination •Project support including binder preparation, document preparation, and scan/copy/print jobs •Project administration, including preparing engagement letters and completion of forms required for conflict checks and engagement commencement You will manage and/or oversee •Maintaining a clean, presentable office appearance (including kitchen, conference rooms and communal office spaces) •Shipping and receiving of all parcels through FedEx/UPS/US Mail •Office meeting planning and event coordination, including ordering lunches •Coordinate local employee and client events •Ordering, maintaining, and organizing office supplies •Liaising with building management and local office vendors •Managing off-site storage •Visitor management •Local office recruiting coordination and employee on-boarding •Partnering with team members on client invoicing, CRM maintenance, and system updates as needed Ideal candidates will possess the following: 3+ years' experience in an Executive Administration role, focused on supporting executives with scheduling, documentation, financial records, and similar. Experience in a Professional Services or Consulting organization highly preferred Customer Service experience, preferably in the corporate environment. Extensive experience in the Microsoft Office Suite, scheduling tools, expense reporting software, and similar. Physical ability to move or carry various office items as needed. What we offer: Compensation: This is a full-time position offering an hourly salary between $36 and $41 depending on experience, qualifications and aptitude.
