Our core services include due diligence, accounting services, construction management, parking, environmental services, and property and facility management.Role DescriptionThis is a full-time on-site role for a Commercial Real Estate Administrative Assistant III located in Houston, TX. The role involves handling administrative tasks, managing property listings, coordinating with clients, and providing general support to the real estate team.This key position will best be filled with a valued commercial real estate administrator who identifies with a professional mind-set personality, who understands the needs of a management team, and who has the desire to advance within the organizationResponsibilitiesWork with the Operations Team to ensure that all work orders are processed through the IMPAKMake necessary arrangements with utilities companiesAssist Property Accountant with processing invoices and in a timely manner according to the established SOPTrack, collect and ensure monthly certificates of insurance for both tenants and vendors are currentWork with the Property Management Team to prepare and update lease notices, accounting and operational documentsUtilize strong communication and follow up skills to address tenant issues and answer phonesGenerate and distribute regular tenant memos and communications such as security memosAssist with budget and reforecasting process Prepare vendor service contracts and construction contractsQualifications2+ years Previous experience in real estate administration Proficiency in Microsoft Office Suite and real estate softwareExcellent organizational and communication skills with a high energy personalityKnowledge of real estate procedures and regulationsAbility to multitask while working in a fast-paced environmentStrong phone voice and the ability to build rapport quickly over the phoneStrong sense of urgency and proactivity requiredExcellent organizational and time management skills with attention to detail while prioritizing projects and workloadsTeam oriented, learning-based, possessing the will to succeedBe able to periodically work over time, if needed, for special projects and deadlinesMust be a self-starter with strong initialive, and a problem solver with a "get it done" attitudeMust have experienced working with Confidential documents (i.e. tenant leases, client financial information)BenefitsMedical, Dental and vision benefitsPaid time offRetirement Program
