To learn more, please visit our website: Overview: We are seeking an efficient and organized individual to join our team as an Administrative Assistant with a focus on receptionist duties at our personal injury law firm. As the first point of contact for clients and visitors, you will greet guests with professionalism and provide assistance as needed. Your responsibilities will include a wide range of administrative tasks. The ideal candidate will have excellent communication skills, attention to detail, and the ability to handle sensitive information with discretion and in a timely manner.Responsibilities: Greet visitors in a cordial and professional mannerNotify individuals awaiting visitors and arrange suitable meeting spaces for their interactionsSchedule meetings and reserve conference rooms as requiredMaintain a comfortable and organized reception area and conference roomsCoordinate the flow of mail in and out of the officeCollect and distribute parcels and other mail promptlyPrepare packages for delivery with accuracy and efficiencyHandle email and fax correspondence promptly and professionallyExecute filing and clerical duties with attention to detailAssist and follow up with other assistants with various tasksOther duties as necessaryQualifications: High School Diploma or equivalent with a background in customer service experienceFluent in both English and Spanish preferredProficiency in organizing and managing time, with a track record of effectively prioritizing tasksExceptional verbal and written communication skills, enabling clear and concise interactionsAbility to handle mail, email, and fax communications promptly and efficientlyDemonstrates discretion in managing and safeguarding confidential informationMaintains a consistently high level of professionalism, consistently responding with calmness and courtesyMeticulously attentive to detail, facilitating seamless multitasking in a fast-paced environmentDisplays a strong work ethic and excels in building positive interpersonal relationshipsProficient in Microsoft Office SuiteWe are an equal opportunity employer and offer competitive compensation and benefits, and opportunities for growth.
