JOB DESCRIPTION Position: Nursing Scheduler Department: Nursing Reports to: Director of Nursing FLSA Status: Hourly/Non-Exempt Environment: Work will be performed primarily indoors at one of our long-term healthcare facilities, throughout all areas, including in resident rooms, and on carpeted and/or tiled floors. Work will be performed there routinely around other co-workers, healthcare staff, residents, and guests. Due to the nature of facility's business, worker may be exposed to occasional slippery floors, object on floors, chemicals, sharp objects, hazardous materials and waste (including human), blood borne pathogens, and communicable diseases, as well as high-stress medical and/or life threatening situations. Duties and Responsibilities: Scheduler is responsible for planning, coordinating and implementing nursing staff scheduling for the Nursing Department. The nursing scheduler generates, manages and updates master schedules while making adjustments as needed according to budgetary constraints, census fluctuations, call-ins, and pre-planned leaves of absence. Establish and maintain schedule templates for all nursing staff via online scheduling system. On Shift Post required regulatory staff posting in designated area(s). Monitor daily staffing levels, making replacements as needed for call-outs or other situations to ensure staffing is maintained at acceptable levels. Participate in shift change staff check-in process. Reviewing requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence Fulfilling staffing vacancies in advance to ensure adequate coverage for all shifts Keeping meticulous attendance records and assisting with the progressive disciplinary process if staff members accrue excessive absences and/or tardies Communicating with unit managers and the director of nursing / chief nursing officer regarding floor orientation scheduling for newly hired employees in the nursing department Checking time clock punch records against master schedules and noting the appropriate changes Signing time correction forms for events such as missing meal periods or forgetting to clock in/out Utilizing computer software to prepare, change and update the master schedule Collaborate with Supervisors/Directors for staffing needs. -> Provide input to Supervisors/Directors related to attendance, attitude and flexibility for evaluating performance of nursing staff. Other duties as assigned by the supervisor. Skill, Ability and Knowledge Ability to effectively communicate with people Ability to perform mathematical functions Read, write and speak English Communicate via telephone Computer proficient Demonstrated intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook, Internet and Intranet navigation. Highest level of professionalism with the ability to maintain confidentiality. Ability to communicate at all levels of organization and work well within a team environment in support of company objectives. Customer service oriented with the ability to work well under pressure. MINIMUM QUALIFICATIONS: Education: High school diploma or equivalent Licensure/ Certification: CNA certification is preferred but not required. Experience: With at least 1 year of previous work experience as staffing coordinator or administrative assistant preferred. Must possess strong organizational and communication skills, computer skills to include typing and knowledge with nurse staffing issues. Demonstrated intermediate to advanced skills in Microsoft Word, Excel, Power Point and Outlook, Internet and Intranet navigation. -->Highest level of professionalism with the ability to maintain confidentiality.
