Job Title: Senior Supervisor, Senior Leaders Support Area: Senior Leader Support Reports to: Director, Senior Leader Support Classification: Exempt Location: Evanston, IL (This position is designated as Hybrid - Fully Flexible and expected to work from our World Headquarters office once per month to several times a week. The specific days in the office are determined by managers based on business requirements. Rotary is under the jurisdiction of Illinois employment laws; we require all employees to live within reasonable daily commuting distance to Evanston.) General Overview This position is responsible for the administrative and financial support of the RI Directors, Trustees and Past RI Presidents. They lead a team that arranges the facilities and hospitality events for all Senior Leaders and coordinates with other areas of the organization to arrange for the Presidential condominiums and automobiles. They also assist in the overall administration of the Senior Leader Support team. You Will Have Bachelor's degree or equivalent work experience required 5-7 years prior office experience required, with prior supervisory experience strongly preferred Proficiency with Microsoft Office required (Word, Excel, PowerPoint, Outlook, OneDrive) Strong multi-cultural sensitivity Availability for travel to approximately two meetings per year and to work irregular hours on occasion You Are Good At Managing a dynamic team Overseeing multiple deliverables and prioritizing appropriately Handling confidential issues with discretion and professionalism Written communication, proof-reading and editing skills. Budgeting and financial experience Providing excellent customer service and team building You Will Be Responsible For Senior Leader Support Manages day-to-day administration of budgets for RI Board of Directors and TRF Trustees including expenses for the TRF Chair and TRF Chair-elect. Develops annual support budgets for directors and trustees, monitors spending trends, and develops utilization projections for senior leader discretionary funding. Manages all aspects of support for the RI directors, TRF trustees and Past RI Presidents, including but not limited to monitoring the use of their discretionary funding to ensure compliance with policy, tracking expenses relating to board and trustee meetings, supporting their attendance at the International Assembly, International Convention and Council on Legislation Assists directors, trustees, and past RI presidents with travel arrangements through Rotary Travel Services, as required Oversees support for the TRF Trustee Chair, and Chair-elect in collaboration with their administrative assistant. Facilitates good communication between the TRF Chair and Chair-elect with the President/elect, the general secretary, other RI/TRF officers and secretariat staff members. Coordinates support for Rotary Institutes, including collection of proposals, assignments of official representatives, and administration of conveners' funding in line with policy. Oversees budget preparation for past RI presidents, non-meeting expenses for directors and trustees, monthly responsibility report review and year-end close In conjunction with Facilities, oversees the year-end process for packing and shipping the outgoing president's personal effects from Evanston to their home Coordinates supports for the annual Council of Past Presidents meeting Oversees the logistics and event planning for social functions involving senior leaders Oversees all aspects of the condolence process for the death of past RI officer Oversees all mass communications sent by or on behalf of current RI/TRF officers and GS Assists with orientation of directors-elect and incoming trustees Supervises matters related to the Presidential condominiums and automobile. Must be able to travel domestically and internationally if assigned. Supervises support staff in conjunction with above listed responsibilities.
