Summary of Position: The Project and Administrative Manager will be responsible for coordinating and supporting the development and implementation of new regional initiatives within IWU-National & Global's Learner Success & Regional Workforce Engagement division as well as providing administrative support to the Vice President for the division. This work includes managing and tracking the progress of ventures projects and supporting venture directors in connecting with both internal university resources and external partners. At times, this role will also take ownership of projects and help to move them forward to completion and review. The ideal candidate will have a passion for innovation in higher education and a track record of successfully managing and implementing projects. They will be highly organized, detail-oriented, and able to work effectively with a wide range of internal and external partners. The primary reporting relationship is to the Vice President for Enterprise Development and Regional Ventures. This position has frequent contact with staff and administrators as well as senior leaders in the university and outside constituencies. Duties and Responsibilities Venture Project Management Oversee and coordinate the development and implementation of new regional initiatives in higher education, including ventures projects Track and monitor the progress of ventures projects, ensuring goals and deadlines are met Support regional directors in connecting with internal university resources, such as marketing and Strategic Program Launch, and external partners, such as government, businesses, and alumni Work in conjunction with the VP and Executive Director to launch new programs and initiatives across the regions Manage emerging projects through project management tools such as Smartsheet and other software programs to ensure successful and timely completion of the Regional Ventures initiates Lead project review cycles, capturing lessons from success and working to understand the faulty assumptions when projects do not go as planned Manage and maintain project documentation and ensure that all documentation is accurate and up-to-date Administration and Communication Provide administrative support to the Vice President of Learner Success and Regional Ventures, including calendar management and budget and credit card reconciliation Communicate with the division and ensure that all communication is timely and accurate Manage and maintain VP schedules, appointments and travel arrangements, meetings, and events Daily responsibility to receive and respond to incoming calls and communications Interaction with senior leaders across the university, and outside vendors Serve as external liaison to community in developing and nurturing partnerships alongside Vice President Prepare and edit correspondence, communications, presentations and other documents Create and execute communication strategy for division, ensuring regular and ongoing information exchange Complete and process required human resource paperwork Support and execute division-wide professional development opportunities to ensure a strong culture and high-functioning division Financial and Administrative Reporting Provide budget oversight and supervision for all departments in the division, working with area leadership to ensure appropriate reporting and tracking Process purchase requisitions, expense reports and approve timesheets Serve as the regional financial/operational liaison with other university financial/operational units Conduct research, assemble, and analyze data to prepare reports and documents Qualifications: According to Indiana Wesleyan University employment policy all employees must possess a strong Christian commitment and adhere to the standards outlined in the IWU Community Lifestyle Statement. Education Bachelor's degree required Experience Minimum seven (7) years of experience Direct experience with administrative management including general budget and project management Knowledge of standard office administrative practices and procedures Required Skills Minimum of two to three (2-3) years of experience in project management, and/or providing administrative support with a high degree of autonomy Advanced user of business software including all MS Office Suite products, including Excel, access queries, presentation, and graph development Experienced in information gathering and information monitoring, with attention to detail, confidentiality, and accuracy Proficient in problem analysis and problem solving High level of communication skills and confidentiality Demonstrated initiative & flexibility Strong organizational and planning skills Excellent communication and interpersonal skills Strong attention to detail and ability to multitask Familiarity with budgeting and financial management Ability to work independently and take initiative Diversity Statement IWU commits to create a community that reflects kingdom diversity.
