Office Assistant (Part Time) - $15hr Reports to: Director of Administration FLSA Classification: Non-Exempt Status: Part Time Gender: Any Shift: 8am - 5pm M, F THE CENTER The Flance Early Learning Center is a diverse early childhood community that respects and nurtures children and adults in a trusting culture of love, empathy, compassion, and joy. An integral part of our mission and practice is to develop partnerships with families and community organizations that prepare and empower children to embrace learning, a strong sense of self, and social connection as essential tools for growth and achievement. Overall Responsibility The Office Assistant position is the first person that families and children see when they enter the Center. He/she must be comfortable greeting families, staff and visitors and be able to juggle multiple tasks while maintaining a welcoming demeanor. The Office Assistant position receives tuition payments and assists the administrative team. Interactions Interacts daily with everyone at Flance Center Receive Flance Center general inquiries and respond or forward as necessary Works with Enrollment Coordinator to maintain annual demographics of Flance clients; communicates information to Administrative team Financial processes tuition payments and deposits, provides necessary documentation to families Implementation Maintains up-to-date contact information for all families Telephones - answer all calls, take messages, route calls, screen calls Processes mail Family Database - provides daily attendance in excel spreadsheet and meal count sheets to classrooms and collects and records data in database daily, maintains & updates records, including student's physical files and family binder Incident/Accident Reports- Updates excel spreadsheet to track reports, along with physical binder that holds the reports. Maintain staff and classroom mailboxes Maintain staff photos Planning Provides oversight of front desk and keeps area organized Maintains and updates records, student files and operation binder Prepare communications (to families and others) as directed by Administrative team Oversee general office Equipment - routine management of copier, etc. Skills and Attributes Excellent telephone and customer service skills Attention to detail and ability to follow through Professional appearance and demeanor As the "face of the organization" must be welcoming and approachable Must be extremely well-organized and flexible; strong time management skills and able to multi-task and work in a sometimes-chaotic environment in which he/she is rarely able to complete a task without interruption Good recall or system for remembering names especially helpful for greeting families and guests Desire to work around children and families, people of all ages Ability to work flexible hours, including early mornings, evenings, and weekends, as necessary Environmental Factors Indoor, primarily works at the Center front desk (open office with no door). Noise and activity levels can be high; staff, visitors, families and children come and go at all times. May have to drop work in order to attend to a crisis. Position requires a health screen, annual Family Safety Registry background check and fingerprint check. Flance Center is a busy, unique environment. Employees are expected to participate fully in the life of the Center. All employees must be able to lift 25 lbs. in the event of an evacuation or emergency situation.
