Job Description: As a Front Office Assistant at PocketLedge in Orlando , you will serve as the first point of contact for visitors and clients, ensuring a professional and welcoming atmosphere. You will handle a variety of administrative duties, support daily office operations, and assist with front desk management to maintain an organized and efficient work environment. Key Responsibilities Reception Duties: Greet and direct visitors, clients, and staff with professionalism and courtesy, answering inquiries and providing assistance as needed. Phone Management: Answer, screen, and forward incoming calls, taking messages and directing them to the appropriate team members. Mail and Packages: Receive and distribute mail and packages; assist with outgoing shipments as required. Appointment Scheduling: Manage appointment bookings, maintain calendars, and coordinate meetings for staff and management. Data Entry: Input and maintain accurate records of office correspondence, appointments, and contacts in company databases. Office Supplies Management: Monitor office supplies and equipment, ensuring they are stocked and functional; coordinate with vendors for replenishment. Filing and Documentation: Organize and maintain office files, both electronic and physical, ensuring all documents are properly stored and accessible. Support to Other Departments: Provide general administrative support, including copying, faxing, scanning, and assisting with special projects when required. Skills, Knowledge and Expertise High school diploma or equivalent; some college education in business administration is a plus. Proven experience in an office or administrative role is preferred. Excellent organizational and multitasking skills. Strong communication skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
