Administration Manager Be Well Kentucky (BWK) is based in Louisville with a satellite office in Lexington. The Clinic specializes in the provision of evidence-based treatment for eating disorders, obsessive-compulsive disorder (OCD), trauma and other anxiety related disorders. Be Well is the parent company of Louisville Center for Eating Disorders, the only PHP and IOP for eating disorders in Kentucky. You'll provide administrative support in a broad spectrum of duties including supporting the Executive Team, marketing, data analysis & compliance. The ideal candidate is a bit more senior than entry-level and has ideally spent some years working in a similar administrative role. You should be tech savvy and be able to exercise sound judgment, be well organized, and be willing to do what it takes to get the job done. We are looking for a team player who is able to multitask. Assist Business Manager with administrative tasks in a timely manner Support the Director of Operations in matters of compliance monitoring and other duties Lead and guide reception team Collaborates as a member of the administrative team and actively participates in activities intended to improve patient care/facility operations. Provide administrative/clerical support (filing, scheduling, scanning, etc.), willingness to help other admin team members when needed Prepares correspondence, spreadsheets and other documents as needed. An active member of the marketing team, duties include assisting with the coordination and execution of special events, supporting social media efforts and community outreach, updating websites periodically with new provider or services information. Provides excellent customer service by responding to requests for information through understanding of policies and practices (i.e. recruiting, benefits, credentialing etc.), and assist with benefits enrollment as needed Function as creative and forward-thinking support to all hiring managers for recruiting needs including coordinating with departments to develop job descriptions for all positions within the company. Assist with onboarding, and new hire orientation Posting of Team Member communications/ staff newsletter Maintains Human Resources information system records and compiles reports from database (experiencing using Bamboo a plus) Participate in developing department goals and objectives Alongside managers, investigates and resolves employee grievances and coordinates processes responding to employee complaints. Develop a recruitment plan through research and identification of sources for candidates, such as job boards, social media, events, employee referrals, and networking within the community, colleges, and universities to foster relationships and attract qualified candidates Must have: Bachelor's degree in business administration, HR administration and at least one year of work in a similar role Or do you have 5+ years of experience in a similar role in lieu of a degree? Ability to learn new systems quickly, be 'tech savvy' Effective interpersonal skills, relationship-building skills, and strong customer service orientation Preference: Working knowledge of basic human resources principles and practices preferred Excellent writing and analytical skills, graphic design, and social media savvy a plus Proficiency in a Google environment A demonstrated commitment to accuracy and ability to work with confidential information Collaborative work style and comfortable in a busy, deadline-driven environment Must be able to pass background screening
