Location: Utah Job Type: Full time Company Overview: Utah Senior Planning is a financial firm dedicated to assisting the elderly in applying for government programs. We work closely with nursing and assisted living facilities throughout Utah, ensuring their residents receive the best possible support in their financial planning and Medicaid processes. Job Description: We are looking for a highly organized and proactive Office Manager to join our growing team. This role is integral in supporting the Medicaid facilitation process for residents in Nursing Facilities. The ideal candidate will assist in various administrative tasks, including phone calls, document gathering, and ensuring efficient communication with multiple USP Contracts while also managing the front desk. Key Responsibilities: Front Desk Reception : Open and close the office each day Greet visitors and direct them to the appropriate personnel or conference rooms. Answer and direct phone calls in a polite and professional manner. Respond to general inquiries via email and phone. Mail Management : Receive, sort, and scan incoming mail. Prepare outgoing mail and packages. Conference Room Support : Ensure conference rooms are prepared for meetings (e.g., setting up materials, maintaining cleanliness). Escort visitors to the appropriate rooms and assist with meeting logistics. Administrative Support : Assist with filing, data entry, and other clerical tasks. Order and manage office supplies. Support daily office tasks as needed, ensuring smooth operations. Help provide weekly updates to contracted Nursing Facilities. Aid in scheduling and speaking with potential residents requiring Medicaid. Assist in sending, tracking, and following up on communications for Medicaid enrollees, including recertification's and submissions to the Department of Workforce Services (DWS). Help ensure timely review and handling of Notice of Action letters for enrollees, including obtaining any requested documents. Support continual communication and follow-up with residents for document requests from DWS to maintain eligibility. Assist in guiding enrollees or their representatives in completing Medicaid applications, recertification's, or applicable assistance programs. Provide support in monitoring and advising enrollees on Medicaid processes and procedures. Offer assistance in informing enrollees and their representatives about re-certification dates and benefit-related questions. Perform other supportive and non-essential duties as assigned. Proficiency in handling phone calls and managing documents. Competence in Microsoft Suite, CRM systems, and Google Suite. High school diploma or equivalent is typically a minimum requirement. Excellent verbal and written communication skills. Ability to draft and edit correspondence, reports, and presentations. Skill in effective and professional communication with diverse groups of people.
