Overview The national offices of the Presbyterian Church (U.S.A.) , based in Louisville Kentucky, serve with mid-councils, congregations, worshipping communities, and partner organizations to carry forth the mission of Jesus Christ. Approximately 400 individuals, diverse in race, age, gender, sexual orientation, faith, skills, and more, come together as colleagues to work for a world where justice reigns, peace prevails, and God's love extends to all people. This community comprises the staff of several national entities: the Office of the General Assembly, Presbyterian Investment and Loan Corporation, the Presbyterian Mission Agency, the Presbyterian Publishing Corporation, Presbyterian Women, and the Administrative Services Group. Basic Commitment: This position calls for a commitment to the mission of the Presbyterian Church (U.S.A.) as noted in its theological confessions, the Book of Order, and the actions of the General Assembly. The role is Part Time Term Contract for 89 days, non-benefits eligible. Work is onsite at the Presbyterian Historical Society in Philadelphia, PA. 1. Income Processing (checks) : Enters all information about check donations in Donor Perfect, including updating records of previous donors and creating records for new donors. Prepares and prints formal acknowledgement letters on PHS letterhead for the Executive Director's signature; stuffs and mails letters. Depending on the size of the donation (usually gifts of $250 and above), alerts the Development Director to send an additional handwritten thank you note. Makes phone calls to all donors thanking them for the gift. Files paper documents that accompanied donation. 2. Online donations : Receives notifications of online donations, which go directly to the Donor Perfect platform. Ensures that automated acknowledgments are going to donors. Prepares and prints formal acknowledgement letters on PHS letterhead for the Executive Director's signature; stuffs and mails letters. Depending on the size of the donation (usually gifts of $250 and above), alerts the Development Director to send an additional handwritten thank you note Makes phone calls to all donors thanking them for the gift. Tribute Donations : Records information about donations made in honor, memory or in gratitude of people or entities; sends both acknowledgement letter to the donor and a letter to the appropriate person or entity alerting them that a tribute donation has been made. 4. Data Management (in Donor Perfect, Wealth Search, and/or Excel) : Manages donor profiles and updates them when appropriate. Tracks prospective donors with a focus on those who attend PHS events. Uses Wealth Search to gather information about major donors' giving capacity and shares findings with Director of Development and Executive Director. Creates reports for Director of Development and Executive Director; and PHS Board/PHSB Development and Communications. Committee/Campaign Committee; provides analysis of reports and data as requested or as trends are identified. Maintains information about Journal of Presbyterian History subscriptions in Donor Perfect and responds to queries about missing issues. Ensures security of data. 5. Appeals : Overall, ensures that each appeal is tracked adequately in terms of contacts, follow ups, donations, and acknowledgments. In consultation with the Director of Development, creates the lists of donors or prospective donors' names and their contact information depending on the method of outreach (postal mail or electronic); segmented groups receive different versions of the same appeal. When appeal is printed and mailed by an outside vendor (ex. Fall Appeal and Campaign), provides vendor with donor list and all electronic files for documents included in the solicitation package. Sends in-house appeal solicitations when packets are sent directly from PHS and enables the addition of personal notes from PHS staff, current or former Board members, or others. Sends in-house follow-up letters. Coordinates with other PHS departments when they are soliciting funds through grant opportunities or special appeals. 6. Committee Support : Attends all development meetings and takes notes: PHS Board Development and Communications Committee, Campaign Committee, Delaware Valley Council, Advisory Council. Collaborates with Development Director or Executive Director for meeting follow-up. Coordinates hotel, meeting space, food and beverages, and travel for Board meetings. Assists with setting up the room for the meetings and organizes all food and beverages. Arranges all off-site meals at local restaurants. Attends all meetings and assists the Board secretary in note taking and preparing the minutes for General Assembly review. 7. Print Collateral Support : Produces and reviews the annual list of donors by category and the list of tribute gifts for the annual report, which is distributed with the Spring issue of Presbyterian Heritage. Produces the print mailing list for The Journal of Presbyterian History. 8. Cultivation Support : Serves as a liaison to the public. Responds to questions and information requests from donors and denominational members. Sends seasonal cards to donors as a way of thanking them (Valentine's Day, Easter, and Thanksgiving) and collaborates with Communications on the PHS Christmas card. 9. Research : Spends time weekly looking for grant opportunities and prospective donors. Helpful Skills: Experience with Donor Perfect preferred Have a deep understanding and commitment to cultural and racial ethnic inclusiveness. Values diverse groups, ethnicities, genders, communities, cultural constituencies and points of view. Able to relate well to people from all walks of life and of varying theological perspectives.
