POSITION SUMMARY Reports to: Director of Global Sales Are you a passionate and organized individual looking to join a dynamic team in the tourism industry? The Global Sales Assistant is a critical member of a close-knit and dynamic global sales team, within the Convention Sales & Services Department. The Convention Sales and Services (CSS) team promotes and sells Washington, DC as a destination for meetings and events of all sizes. The CSS global sales team focuses on attracting international business events including meetings, incentives, conferences and exhibitions. Our mission is to drive economic and social impact through meetings and conventions that contribute to both room night generation as well as positive impact on the residents of the District of Columbia. As a Global Sales Assistant, you'll play a crucial role in supporting the Convention Sales & Services team. Your responsibilities will include providing administrative support, assisting in booking new business events, and fostering strong relationships with internal and external stakeholders. A day in the life of you as our Global Sales Assistant may include: Working closely with the Senior Vice President of Convention Sales and Services and Director of Global Sales on administrative support and special projects. Coordinating hotel and venue site visits for global sales clients. Processing expense reports and tracking team budget usage. Input contacts and leads into Simpleview CRM. Your Essential Duties and Responsibilities (including, but not limited to): Provides principal administrative support to four (4) individuals: Senior Vice President, Convention Sales and Services; Director of Global Sales; Global Sales Manager; Global Sales Specialist Administers sales leads including the qualifying, processing, distribution, and tentative lead follow-up as directed by Director of Global Sales and Global Sales Manager. Files maintenance and upkeeps account management system for global sales team. Prepares special reports, forms, data entry and management for team sales managers. Prepares expense reports via Concur, tracks budget and completes project management forms. Administers the gift and collateral inventory of global sales by maintaining the gift storage, tracking the usage of inventory, and ordering materials when needed. Provides additional administrative support, including greeting guests and preparing meeting rooms, updating weekly activity reports and calendars, sorting and distribution of mail, preparing and shipping materials internationally, etc. Coordinates international sales travel and programming for industry conferences, trade shows and sales missions including follow-up support with data input for contacts and appointment notes. Coordinates site inspection itineraries including the scheduling of hotels, venues and convention center visits; solicits member/partner support where necessary; arranges the logistical aspects of the site inspection. Other duties and special projects as assigned. What You Bring: Knowledge, Skills, & Competencies Minimum one (1) year of global business, sales, or marketing experience (including college internship experience). Prior experience handling expense reports, invoicing, and budget maintenance preferred Proficiency in Microsoft Office (including Word, PowerPoint, Excel and Outlook), Cvent, database/CRM software, and ability to learn new software programs as directed. Strong initiative and work ethic with ability to prioritize tasks with minimal supervision and rely on experience and judgment to complete tasks. Four-year degree from an academic institution in public relations, journalism, marketing or communications preferred. Superior organizational, project and time management skills with strong attention to detail. Excellent written and verbal communication skills including the ability to draft succinct yet informative emails, ask clarifying questions and convey professional phone call and email etiquette. Fluency in other languages is a plus. Knowledge of and enthusiasm for the Washington, DC.
