(They are public company with revenues approximately of 300 million with 300 employees) Position Title: Executive Assistant - Functional Role: supporting the COO Client Industry: Asset management Currently in the office Monday through Thursday and work remote on Friday Located: 75 & Mockingbird area Reporting to: - COO Reason Position is Open: recent EA was NOT detail oriented and making multiple errors with scheduling travel arrangements, calendars scheduling..etc Need a TOP NOTCH EA! - Polished, Strong attention to detail, along with hands on expr supporting a C-Suite with HIGH EXPECTATIONS with a prestigious company 3 Keys: 1. Supporting C-Suite 2. Managing their schedule, meetings, and travel (US & International) 3. Being available for errandsspecial projects4. Attention to detail, always on top of things Job Description The Executive Assistant will be responsible for providing high-level, administrative support to Executive team members: including, but not limited to, managing their schedule, meetings, and travel. This position requires that you are highly organized, can juggle many tasks at once, are not easily overwhelmed, and are comfortable interfacing with all levels of internal management and staff as well as outside clients and vendors in a fast-paced environment. The Executive Assistant maintains and protects highly confidential corporate information, is the first point of contact in person and on calls and works independently with minimal supervision or direction. Primary Responsibilities Coordinate and manage complex schedules, including meetings, travel arrangements, and appointments across multiple time zones. Serve as the primary point of contact between executives and internalexternal stakeholders. Handle correspondence, emails, and phone calls with professionalism Organize and prepare for meetings, which may include updating, taking minutes, and following up on action items Plan and coordinate domestic and international travel, including flights, accommodations, itineraries, and visas Handle expense reporting and reimbursement processes for executives Manage documents, presentations, and reports as necessary. Maintain confidential files and records Assist in the planning and execution of various projects and initiatives. Track progress and ensure timely completion Collaborate with relevant stakeholders to assist in organizing executive off-sites, company events, conferences, etc. Performs other duties as assigned. Requirements 5+ years of experience as an Executive Assistant or similar role supporting C-level executives Executive Assistant October 2024 Proficient in Microsoft Office Suite Familiarity with virtual communication tools and platforms (e.g., Zoom) Excellent verbal and written communication skills Strong organizational and time management skills Strong interpersonal skills with the ability to build relationships at all levels of the organization Ability to anticipate needs, think critically, and offer solutions proactively Ability to handle multiple tasks simultaneously in a fast-paced environment High level of integrity and discretion in handling confidential information ï‚· Willingness to work flexible hours to accommodate different time zones
