ADAM LEITMAN BAILEY, P.C.Office Administrator Position Overview:The Office Administrator plays a key role in ensuring the smooth and efficient operation of the Firm by managing various administrative functions, including finance, human resources (HR), information technology (IT), and facilities management. This position requires strong organizational, multitasking, and communication skills, with the ability to oversee a wide range of duties in a fast-paced environment. The Office Administrator acts as the central point of contact for office operations and is critical to supporting a positive and productive workplace. This is a hands-on role responsible for controlling the day-to-day operations of the firm and driving its continued growth and success.Requirements:· College degree in accounting or finance. Certified Public Accountant preferred.· Experience: 3+ years of experience in office administration or a related role. Experience in finance is required. HR, IT, or facilities management is a plus.· Skills:• Strong organizational and multitasking abilities.• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).• Familiarity with financial software (TABS 3), HRIS systems (Justworks), and IT troubleshooting.• Excellent written and verbal communication skills.• Ability to work independently and as part of a team.· Leadership: Can confidently manage support staff and delegate as necessary, maintaining good interpersonal relations and communications with lawyers and support staff. Responsibilities:Finance:· Provide accurate and timely reports outlining the operational condition of the Firm, including billing, collections, expenses and profitability.· Establish, implement, and monitor financial controls and guidelines to increase revenue, reduce costs and maximize profitability. · Manage bank balances and cash flow requirements. · Process bi-weekly payroll.· Manage banking and insurance relationships and coordinate annual renewals of the Firm's policies.· Manage vendor relationships and continue to evaluate need for services.· Reconcile credit card statements and load transactions into the General Ledger.· Collaborate with outside accountant and tax provider to prepare financial reports and assist with annual audits and tax filings.· Ensure proper documentation and filing of financial records.Human Resources (HR) Administration:Coordinate recruitment efforts by posting job openings, screening candidates, and scheduling interviews.Lead the onboarding process for new employees, including orientation and paperwork.Maintain and update employee records, including attendance, leave management, and benefits administration.Manage employee relations and performance.Ensure compliance with company policies and employment laws.IT Administration:Serve as the point of contact for basic IT issues, troubleshooting software, and hardware problems.Coordinate with external IT support providers for more complex technical issues.Set up Zoom voicevideo accounts for incoming staff.Maintain office technology equipment, including computers, printers, and phones.Manage software licenses, user accounts, and office systems (e.g., email, network access).Assist in implementing new technologies and system upgrades.Facilities Management:Oversee day-to-day office operations, ensuring a safe, clean, and functional work environment.Coordinate with external vendors for office supplies, maintenance, and repairs.Manage office security, including access control and safety procedures.Plan and coordinate office set-ups for incoming staff.
