Student Housing provides housing for approximately 9,000 undergraduates, graduate students and their families in over 250 buildings and approximately 3.3 million sq. ft. Currently, Student Housing houses 51% of UCI's enrolled students (in conjunction with American Campus Communities, UCI's 3rd party housing partner) with a goal of housing 60% as part of the campus Long Range Development Plan (LRDP). Student Housing also provides maintenance and repair services to student residents. Your Role on the Team Under the general supervision of the Associate Director of Residential Services, the incumbent serves as the primary administrative staff member responsible for the operations of the housing office, mailroom, and the Arroyo Vista public facilities. The incumbent will supervise front desk student staff including hiring, training, supervision and evaluation of approximately 22 casual employees; maintain and upgrade office equipment; coordinate services with appropriate vendors. Outside of student staff supervision this position's main responsibility is the joint coordination and management of room assignments with Housing Administrative Services, the central Student Housing office. This position includes heavy client relations with a diverse group of students, campus partners and external constituents and will analyze service trends and requests and make recommendations for process improvements. Other duties include oversight of assignments with the room change process, contract terminations, providing backup support for the other community Residential Services Coordinators, and completing special projects/assignments as needed. The initial assignment is in Arroyo Vista; however, staff may be shifted to other areas in Student Housing to meet the business needs of the department. Required: Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications. Proficiency in Microsoft Office 365, particularly Microsoft Excel, Microsoft Outlook, and Adobe Acrobat. Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills. Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel. Ability to interact positively and communicate effectively with a diverse group of students, faculty, staff, and visitors to campus. Skills to compose memos, letters, reports, and presentations using standard business formats. Experience managing multiple projects at one time. Demonstrate experience developing, using and maintaining office procedures. Ability to maintain confidentiality of records and information. Skill in working as part of a team and collaborating closely with co-workers on a variety of interdependent functions. Proficiency in analysis tools, models, and methods. Ability to learn new software programs. Skills to maintain organized electronic and hard copy files. Knowledge of PC hardware and computer peripherals. Skill to troubleshoot system problems. Skill to install and upgrade software. Willingness to learn new applications and systems. Ability to identify areas for process improvement and make recommendations to improve efficiency and/or service level. Personal skills to maintain diplomacy, confidentiality, and professional conduct. Demonstrated ability to independently complete detailed tasks and manage projects. High school diploma or equivalent experience Preferred: Bilingual oral and written communication skills (English and Spanish, Chinese, Korean or Vietnamese). Demonstrate experience in using Adobe Acrobat, Illustrator, Photoshop and/or similar software. Knowledge of Student Housing, university and community resources, systems and services. Knowledge of University policies and procedures. A minimum of 1 year of experience Administrative office experience Special Conditions: Occasional weekend/evenings for opening and closing of residence halls. Must undergo a DOJ background check including LiveScan fingerprinting. Must be willing to return to work in case of disaster.
