The Santa Clarita Community College District/College of the Canyons Foundation is seeking a full-time Events and Marketing Coordinator in the Foundation office. Under the supervision of the Executive Director, Foundation, performs a variety of complex and specialized duties including; coordinating all aspects of Foundation special events, administrative, clerical, specialized office support functions, advancement of fundraising initiatives and projects. Creates and distributes marketing materials, including social media, involving the Foundation's events and fundraising programs. This position is a Foundation funded position, not a District position. Therefore, it is not part of the Classified Union (CSEA). However, it does receive comparable pay, benefits, pension etc. as required by the Foundation Operating Agreement. Compensation Salary Placement: College of the Canyons Foundation is a non-profit entity, separate from the Santa Clarita Community College District (SCCCD). Candidate selected for the position will be a Foundation employee and will be entitled to the salary and employee benefits offered by the Foundation, which may be different from the salary and benefits offered to employees of the SCCCD. This position is not represented by the California School Employees Association (CSEA) nor assigned to any District salary schedule. Initial salary placement will be between $75,000.00 - $80,000.00 annually contingent upon qualification. Probationary period for new Foundation employees is six months. Work year is 12 calendar months. The normal workweek for this position is 40 hours. 10 vacation days accrue during first year of employment. A regular work schedule will be assigned, with the ability to work a flexible schedule, including nights and weekends, as needed. Example of Duties Essential Duties: The duties listed below are intended only as illustrations of the various types of work that may be performed. Coordinates, executes and evaluates all aspects of the Foundation's special events and meetings. Reserves event venues, rentals and leads planning efforts for Foundation events. Establishes contracts with the assistance of Business Services for all event vendors. Coordinates event hospitality, seating charts and arrangements, special requests and accommodations. Collaborates with event committees, creates timelines and programs, ensuring all deliverables are accomplished in a timely manner. Assists with Foundation board meeting support, including but not limited to; agendas, minutes, and other coordination. Coordinates content for event and general Foundation marketing materials. Arranges the marketing of events through the campus calendar, email, social media, and other marketing venues. Coordinates the submission and creation of all design and print material requests from PIO and Reprographics. Oversees the Foundation's Social Media channels. Recommends and implements techniques and practices to improve events to the Foundation team. Performs routine administrative tasks including maintaining event calendars, schedules and appointments, picking up and distributing mail, processing event purchase requisitions, answering and redirecting inquires, and tracking and maintaining confidential files and records. Ensures the events are coordinated with the President's office and submits speech requests. Participates on college and community committees, attends special meetings, conferences and luncheons as directed. Monitors event budgets, credit card expenses, and other financial items under supervision of the Foundation Administration. Assists with the maintenance and coordination of departmental event annual budgets to ensure that expenditures do not exceed the established budget. Coordinates event-related purchases such as food and beverages, cutlery, decorations, alcohol, and other supplies as needed. Coordinates the set-up and clean-up of all department events, in coordination with campus Facilities/Civic Center. Performs data input and data retrieval for all relevant department functions, reports, contact spreadsheets, email distribution lists and managing RSVP lists. Creates, maintains, and monitors online event registration web pages in Raiser's Edge and NXT database. Maintains all event registrants ensuring registration fees, meal choices, ads, etc. are accurately tracked. Runs reports and exports data lists for events such as sponsor lists, event attendees, and participation. Performs other related duties as assigned. Demonstrated Knowledge and Abilities: Position requires knowledge of: Methods, practices and terminology used in development offices and institutions of higher learning, accounting and computerized accounting systems. Proper English usage, grammar, spelling and punctuation. Modern office practices and equipment including automated word processing, donor profiles, record management and filing systems, receptionist and telephone techniques, correspondence and report writing. Basic methods and techniques of organization and planning. Social media platforms and online software to deliver regular communication to designated groups. Position requires ability to: Coordinate and schedule administrative, clerical, special event functions and activities. Work effectively and demonstrate currency of knowledge with computers and other forms of advanced technology utilized in providing high quality services. Work independently assuming responsibility and taking initiative to conduct routine functions and operations of the office. Establish and maintain comprehensive and accurate files and records as well as prepare concise and complete reports as required. Perform specialized evening and weekend duties related to fundraising. Maintain optimum confidentiality of donor records and information as understand the sensitive nature of the work in the development office. Qualifications and Minimum Requirements Minimum Requirements: Experience: Three (3) years of experience in a clerical position as an event coordinator with experience in aspects of event coordination, an in-depth knowledge of marketing and organizing fundraising activities and events or similar. Proficient in MS Word, Excel, Outlook in a Windows environment; experience in administrative software system, accounting, record keeping, and outreach activities. Experience in marketing, online communications and website management with, knowledge of, and demonstrated effectiveness in proven methods of promoting events, and public relations as well as an ability to coordinate large group activities. Education: Education equivalent to an Associate's degree (60 semester units) from an accredited college or university is required. Two additional years of related experience in addition to that identified above may be substituted for each year (30 units of education requirement). Additional education or Bachelor degree desirable. Desirable Qualifications: Prior experience performing administrative support duties in a community college or other post-secondary educational institution.
