Summary The PMA / Construction Coordinator is responsible for setting up and maintaining opportunities for defined business divisions. Primary responsibilities involve all administrative support Project Management staff and the Preconstruction Manager. Other duties and responsibilities as assigned by the Division Manager for the overall support and organization of the business are required. Strong organizational skills are necessary for this position, with particular attention to accuracy and detailed record-keeping while following established standard operating procedures and guidelines. Duties and Responsibilities Project Management Utilize Spectrum to maintain job list. Responsible for new project folder creation, maintenance and accuracy of all content. Manage this data weekly and ensure compliance. Assist PM staff with the buyout of projects. Ensure vendors/suppliers have the most current plans. Track & Follow up of quotes in a timely manner. Send project info sheets to new vendors & suppliers & ensure capture of accurate data for recordkeeping. Assist in creating and maintaining Submittal Schedule and log. Prepare and distribute Superintendent project booklet for each new job. Hold suppliers accountable to dates. Assist PMs in request and receipt of concrete, rebar & accessory submittals. Distribute new plans throughout the course of construction & maintain the most up to date shop drawings. Daily/Weekly communications with Project Management, Field Operations and General Superintendent. Process, upload & document IFC drawings. Maintain Master Pour Log: Accurately log all concrete poured. Notify all staff of concrete volume inconsistencies. (reported vs actual) Track square footage for all concrete placements. Enter all sub rates in pour logs & verify accuracy. Maintain subcontractor pays, over/under payments & change orders. Plans updates in estimating folder, Plan-Grid, and current print folder Preconstruction / Sales & Marketing Receive ITB's for all new bids and updates. Download documents. Build and maintain current bid files for all jobs. Send out ITB's to all vendors and ensure receipt & filing of proposals. Continually update customer & prospect data and Developer and Competitor content in Unanet. Set up new job folders & maintain the paper flow. Manage, download, file addenda, and plan changes. Notify the project managers of post-awarded changes. Contract Management / MSA Process forms & documents & ensure delivery to necessary personnel. Communicate with & deliver to Accounting & Contracts Management. Oversight and management of LinkedIn postings for all ongoing projects. Required Experience, Qualifications, and Education 2 years of administrative duties Basic computer skills Practical written and verbal communication and organizational skills Must have reliable transportation to the workplace. Ability to pass drug screening. Must be able to work in the United States without corporate sponsorship now and in the future. Preferred Experience, Qualifications, and Education High school diploma Bilingual (Spanish/English) Organizational skills, including time management, prioritization, and multitasking. Creative and results-oriented, with a keen sense of urgency and self-motivation. Position type, travel, and expected hours of work. This is a full-time, office position. Typical hours will range from 40-45 hours per week and are subject to change. This role requires the ability to work nontypical days and irregular hours based on construction schedules. Due to the critical nature of the role, accepting phone calls during off hours or weekends may be required. Infrequent travel will be required for training or job site visits.
