Position Type: Development/Development Assistant Date Posted: 10/9/2024 Location: St. Charles Borromeo, Tacoma Advancement and Marketing Assistant JOB SUMMARY: Provide assistance and support to the Advancement Director and Principal in the administration of programs, services and events for the St. Charles Borromeo School and Advancement Office. This position requires someone who is self-motivated, has great attention to detail, friendly, able to function in a fast paced environment and able to coordinate and organize volunteers. GENERAL ADMINISTRATIVE DUTIES AND RESPONSIBILITIES: Serve as the social media manager and coordinator for all of the SCB Social platforms. Create and maintain professional content and postings. Will maintain a professional and confidential attitude in all dealings in the Advancement Office in both verbal and written communication with others. Usage of Word, Excel and Google Workspace a must. Knowledge of DonorPerfect, , MaestroSoft, and Canva a plus. Ensure that an effective and efficient communication means are established and maintained with school patrons through assistance with various flyers, social media posts, school brochures and electronic communications, yearly master calendar planning. Update and keep current all donor information in DonorPerfect database (training provided). Keep current inventory of office supplies and paper supplies (envelopes, stationary, etc.). Assists in coordination of activities conducted through the Advancement Office, and organization of the event calendars for the major fundraising events and activities. Assist with grant proposals whenever needed or possible. Marketing: Assist Director as needed for monthly Marketing Committee meetings. Maintain Advancement Website pages, training provided. Maintain all social platforms for SCB School: Instagram and FDacebook Create new content for social and webpages - videos and photo reels Create new content in Canva for all communications across the school. Annual Fund Campaign: Maintains donor data files in DonorPerfect database. Produce and send correspondence for all fundraising projects i.e. pledge reminders, thank you letters, brochures and matching gift forms in a timely manner. Coordinates events for Annual Fund, including, but not limited to, Pastor-Principal dinner, Witness Talks, Phone-a-thons. Organizes appropriate media for the event. Assist in the production of the Annual Report. Provide detailed bookkeeping of donations that come through the Advancement Office. Coordinate with Parish Bookkeeper on accountability of funds collected and processed monthly. Maintains confidentiality of all records and donations received in the Advancement Office. Follows up with recognition programs for all community donors in a timely manner. Annual Auction: Working knowledge of auction database, training provided. Assist in data entry, mailings, marketing and organization of annual auction. Manage master schedule of deliverables to get ready for the event. Coordinates volunteers for committees and closes issues with volunteer groups. Organizes appropriate media for the event. Attend the auction to lend support at the events. Follows up with recognition programs for all community donors in a timely manner. QUALIFICATION REQUIREMENTS: Bachelor's degree and at least 2 years of Administrative Office experience. Excellent oral and written communication skills. Experience with graphic design and social media content creation. Use of Word, Excel, and Google Workspace software applications. Ability to work with a diverse population. Ability to multitask and prioritize projects in a very dynamic environment. CONDITIONS OF EMPLOYMENT: Administrative Assistant agrees to comply with all terms of this job description, demonstrate general competency, perform the duties incumbent upon him/her and maintain a professional attitude in all duties. The work day will be from 8:00am-5:00pm, Monday through Friday with some evening and weekend work. This position is full time, year round. Health benefits and vacation/sick time are available with vacation and sick time aligned to tenure of employment in the archdiocese. Pay starting at $45,000 - $60,000 depending on experience.
