The Role: The Vice President, Operations serves as stakeholder to the operations, investment team, and asset management teams, helping to identify tools that add to the effectiveness of the Company's marketing, customer service, and operating policies, and procedures. The Vice President, Operations is given broad operating latitude and decision-making responsibility for the management of a significant real estate portfolio. This role aims to provide and execute operational strategies that aim to enhance the Company's operating capacity. In addition, this individual will be responsible for setting all strategies to maximize operating results in various market cycles and stages of property development and ownership. The individual in this role will be an active partner and consultant in the areas of recruiting, on-boarding, performance improvement, continuous learning, creative marketing, customer experience, talent management, and onsite operations. Facilitate a consistent needs assessment around policy, process, talent, tech platforms, and performance thereof as it relates to all aspects of talent management, marketing, customer service, asset preservation, and property operations. Create effective programs to ensure that all within the property management company are well versed in the Company's short and long-term goals, mission, and requirements to properly execute business plans for each asset. Provide the necessary education and support to the coaching of team members at all levels within Avanath including the corporate support team. For marketing, there must be a focus on the assets by ensuring consistent brand awareness and customer experience. This individual must drive innovation by maintaining awareness of trends and legal changes. This role supports our brand, helps build our reputation, focuses our efforts on consistent excellence and enhances the service we bring to our residents, guests, and communities. This role provides their expertise and management to the acquisition, due diligence, lease up, and capital improvements strategies in our management platform and overall property operations. Qualifications 7+ years of experience in a community management position is highly desired. 10+ years in multifamily experience highly desired. Must possess intermediate skill level of the Microsoft Office Suite (Word, Excel, PowerPoint), property management systems, Internet, and email. Knowledge of LIHTC and Tax Credit/Bond/conventional qualifications preferred as it's based on the needs of the region. Frequent travel within region as well as regional corporate and industry travel required. Training experience desired. Strong interpersonal skills as well as strong verbal and written communication skills required. Ability to interact effectively with residents, housing/tenant associations senior executives, business vendors, community team members and investor contacts as needed. Ability to work well under time and other constraints; must be adept at multi-tasking. Key Accountabilities Fiscal and Operational Responsibilities Must visit their communities no less than 1x per quarter to ensure that the needs of communities are met. They ensure currently that the standard for staff operations, resident engagement and business protocols are met in an effective and efficient manner. Participate in all strategic business development opportunities. Serve as business partner to all departments within Avanath such as acquisitions and the investments team with pre-deal review of market conditions and pro-forma financial estimates. Assist in the development and execution of their territory's operational budgets. Prepares and reviews monthly operating statements for accuracy, budgets to actual variances and bottom-line cash flow control. Maximize the operating efficiency and financial performance of the territory by developing strategic plans for enhanced performance. This Includes but may not be limited to ensuring the communities are at max rents and/or Identify plans to ensure revenue projects and increased revenue. Manage the properties for which responsible in the most efficient and profitable manner possible, with regard given to promoting business ethics and fairness in the exercise of rental and management practices. Be able to prepare financial forecasts. Assist Regional Managers in meeting or exceeding all budgetary goals related to rental revenue collection and expense management. Oversee the solicitation and coordination of bidding for outside services. Participate in talent management discussions annually for all assigned. Review and limit revenue loss by looking at operational metrics such as number of days vacant, delinquency reports, subsidy payments, etc. Oversee the development of the territory's collections and implement a system to achieve 0% rent delinquency. Serve as subject matter expert in areas of sales, marketing, customer experience, personnel management, fair housing, office procedure and organization, interpreting financial metrics and all KPI's, communication, risk management, and other skill sets necessary to be successful in residential management. Human Resources Consult with Human Resources Manager to remain well versed in employment law, emerging performance trends, and the Company's HR platforms. Ensure that performance management is relevant, efficient, and timely, and that areas of potential risk, e.g., safety, FMLA, ADA, EEOC and DOL regulations, etc., are minimized through sensible procedures and safeguards. Work with HR to closely align HR with Operations, ensuring that all associates in all offices have a superior experience at Avanath and can hear messaging on benefits, culture, and opportunities; develop and implement best consultative practices in coaching and enhancing leader capability. Work with HR to ensure that employee processes are efficient, including recruiting, application, on-boarding, benefit enrollment, and on-going internal messaging about benefits and employee culture and engagement. Ensure Performance Evaluations are conducted fairly and timely and are equitable with merit increases. Participate with HR in talent management reviews at the corporate level quarterly and annually in addition to assisting with succession planning. Work collaboratively with the asset management team to ensure positive performance to budget and prepare effective business cases for large variances not previously budgeted. Produces reports and monthly financials in an accurate and timely fashion and in alignment with Avanath's operational protocol as established. Staff Leadership Responsible for a large portfolio of communities with a diverse workforce. Direct and support the personnel and performance of each community, coaching leaders and providing clear and concise feedback and direction, selection, and staffing decision-making. Work with and support all back office and corporate support functions which includes but is not limited to compliance, finance and accounting, asset management, capital projects and human resources. Assesses and completes their team's performance on an annual basis. Recognizes opportunities for team development when there is performance based and cultural concerns. Challenges all team members to achieve higher levels of performance by establishing and communicating clear goals. Able to respond to any team member's concern, maintenance condition, resident problem, breach of security, and/or emergency. Resident Relations + Customer Service Positive interaction and communication with residents regarding operational concerns, community initiatives and other community related Remain diligent with resident communications, calling back, answering inquiries, and managing their expectations as well as the business needs within the Refers residents as necessary to appropriate services and agencies which might be able to help as Assist the team in creating and implementing systems that provide necessary services to residents, including immediate acknowledgement and prompt action to correct Physical Demands & Working Conditions The incumbent in this is classified as essential staff and is expected to report to work and adhere to all safety and business protocols. Frequent sitting and walking. Travel within the region and to other business offices and events via airline, trains and automobiles. Repetitive use of computer, keyboard, mouse, and phone.
