Company Description EAGLE ELECTRIC, located in Pleasanton, California, has been providing industrial and commercial electrical contracting services to the Bay Area for over 30 years. We are a small family owned contractor with certifications as a micro-small business and Women-owned small business. Role Description We are seeking an intelligent, energetic, stable and quick-learning Office Manager to contribute their skills and experience. This is a full-time (part-time negotiable) on-site role. The Office Manager will be responsible for handling day-to-day administrative tasks, bookkeeping, providing customer service, and overseeing office administration. Qualifications MUST have at least 5 years union construction administrative experience (Note: applicants w/o construction-office experience will not be considered) Strong knowledge of Microsoft Office suite (Excel, Word, and Outlook) Strong Knowledge of Intuit QuickBooks Enterprise Broad understanding of all functional areas of a typical electrical contracting business (accounting, finance, human resources, and information systems) Must demonstrate exemplary attention to detail and ability to multitask Superior communication skills (answering incoming call, taking detailed messages, customer and vendor relations) BS or AS in Accounting or Business Management, or High School Diploma with equivalent experience; additional certification in office management or accounting is a plus. Responsibilities: Manage the administrative functions of the company Maintain filing systems, including job files, licensures, customers, and vendors Complete weekly union and non-union employee payroll and payroll taxes, including weekly certified payroll reports. Create, manage, and ensure accuracy of job invoicing and billings in coordination with job terms and conditions All accounting responsibilities and financial reports / bookkeeping (A/R A/P, bank statements and reconciliation, quarterly and yearend tax preparation) Manage and maintain company insurance and certificates (follow-up calls to subs, renewals) Manage and maintain preliminary lien notices and lien releases Local monthly Union affiliated transmittals and maintenance of Union fringe updates Maintain business and electrician licenses Ability to assist with RFIs, assisting in preparation of submittals & closeout documents Manage EDD unemployment or workers compensation claims Support of new hire orientation processes Maintaining office supplies, and organization Additional job tasks as required from management staff
