Description Position at The Pasha Group Information for California residents about our collection and use of job applicant personal information can be found here: Privacy Practices Job Summary The Equipment Control Coordinator records and reports cargo and equipment information, responds to agency and operational inquiries and notifications, and ensures that information relating to terminal operations is correct and complete in internal information systems. Primary Objectives Respond promptly to internal and external inquiries with accurate, complete information. Ensure that operational systems reflect proper cargo details and equipment status. Prepare and deliver time-sensitive vessel exception reporting. Develop productive working relationships with trucking companies, cargo companies, and various state and federal agencies including U.S. Customs, U.S. Coast Guard, and State Agriculture Departments. Duties and Responsibilities Prepare daily vessel reconciliations and exception reports for review by terminal operations managers. Ensure accuracy of data and timely delivery of reports. Update and maintain equipment and container master file with additions, deletions, and details regarding usage, ownership, and status. Schedule and coordinate container inspections on confirmed vessel sailing dates with appropriate regulatory agency or third party vendors. Process holds, releases, and destination changes within established timeframes and in compliance with company policy and applicable regulations. Gather and enter manifest data into systems and worksheets to create, track, and report on inspections. Review system entries and reports to ensure accuracy and timeliness of data. Receive and rapidly respond to container status inquiries from terminal operators, operations departments, and trucking companies. Provide timely notifications to terminal operator for liner exceptions, empties, and hazardous cargo. Monitor equipment aging and follow-up with customers and operational departments, as appropriate. Respond and redirect equipment assistance notices to appropriate functional group. Prepare and distribute system reports for internal use and external agencies including TAG, USCG, State Agriculture, and others as needed. Update systems and reports with inspection results and information changes accurately and efficiently to ensure compliance with agency requirements and hazardous material (HazMat) processes, protocols, and requirements. Education High school diploma or equivalent (HSED) required Associate degree or related college coursework preferred Work Experience 2+ years' experience in a related position within the shipping, importing/exporting, or related industry required Required Knowledge, Skills and Abilities Demonstrated proficiency with Microsoft Office products at the following levels: ? Word, Outlook: Basic level of skill ? Excel: Intermediate level of skill Understanding of cargo and equipment shipping industry regulations and required documentation. Ability to effectively utilize operations management software. Ability to review and enter data rapidly and accurately. Proficient at office-related tasks such as filing, faxing, scanning, and mailing. Ability to set priorities and complete assignments within established timeframes. Ability to understand, interpret, and apply policies, procedures, and regulations. Excellent customer service skills with the ability to develop effective professional relationships. Ability to identify problems, evaluate alternatives, and recommend solutions. Excellent verbal and written communication skills.
