JOB DESCRIPTION Job Title: Membership Accounting Specialist Classification: Non-exempt Salary Grade: Associate Staff Reports To: Controller & Membership Director Last Updated: October 2024 JOB SUMMARY The Membership Accounting Specialist is responsible for a wide variety of tasks and projects that facilitate effective and efficient membership and accounting processes within OEA's Center for Business & Finance. This position's responsibilities and functions are overseen, supported and guided by the Controller and Membership Director. The Membership Accounting Specialist works collaboratively with the rest of the Membership team and a variety of stakeholders to achieve goals in membership processing, financial reporting, accounting functions, and system improvement. ESSENTIAL JOB FUNCTIONS General: Contribute to, support, and actively engage in the organization's commitment to create and maintain a diverse, equitable, and inclusive workplace. Participate in activities, trainings, and/or workgroups to support OEA's commitment in this important mission. Work collaboratively with key stakeholders and others across the organization. May provide substantive feedback on a variety of OEA initiatives and/or represent Associate Staff on a variety of OEA committees. Assist OEA in developing and implementing systems, programs, and organizational strategies that create a member-driven culture of organizing and advancing the goals of OEA. Membership: Coordinate statewide online application and membership drop request processing. Create, edit, and develop forms and procedures, especially pertaining to online application processing and membership drop processing. Develop and deliver staff training and support on specific membership topics including online application processing and membership drop processing. In coordination with OEA IT: discover and report technical problems in national data systems; articulate desired updates to national data systems, provide technical expertise on the feasibility of a variety of initiatives, test many new and changing components of IMS and NEA360, and provide technical support to OEA staff and governance for IMS and NEA360 membership systems. Scan documents into paperless environment following established protocols. Prepare electronic records for annual audits, answer auditors' questions, bring OEA into better compliance with certain audit findings, and train new employees in these areas. Support process improvement efforts related to membership enrollment and membership processes. Accounting: Enter monthly general accounting journals for OEA Foundation, PAC, and restricted funds to support the accounting monthly close process; monthly financial reporting through Sage. Log all incoming checks and prepare to mail to lockbox. Access OEA bank records to retrieve and electronically file ACH and lockbox payments for membership dues. Maintain ledger accounts associated with membership dues. Post incoming membership dues payments into accounting software. Assist with daily and monthly reconciliation of membership revenue and related general ledger accounts. Other: Build, extract, and format standard and custom reports from Sage, IMS and NEA360 as needed and related to membership systems, membership accounting, and financial reporting; discover and share data trends. May provide back-up to Membership Specialists and Accounts Payable including but not limited to: Collaborate with school district and community college HR and payroll contacts, OEA members, and OEA staff to develop efficient membership systems and secure data sharing. Update and upload data and retrieve, balance, and reconcile dues payments. Process vendor invoices and payments. Join Membership Specialists, Accounting, and Controller & Membership Director in special projects. Participate in hiring panels for Membership department and other OEA staff vacancies, as applicable. May represent Membership Accounting on one or several OEA committees such as HB 2016 Workflow, Data Team, Join Now, Fall Processing, etc. Consult with NEA and membership staff in other state affiliates to exchange best practices. Other duties as assigned by the Chief Financial Officer or Controller and Membership Director. KNOWLEDGE, SKILLS, AND ABILITIES Computer literacy required. Software experience with Microsoft Office Suite (Word, Excel, Access, Outlook). Experience working with databases and comfortable learning new programs and computer systems. Experience in computer network environments and distributed information systems. Comfortable working in a variety of databases and analyzing and extracting data. Excellent attention to detail and able to reconcile differences in data sets. Experience using copy, print, and scanning machines, phone, and other common office equipment. Able to work accurately with detailed information. Able to prioritize a variety of tasks and meet critical timelines. Able to work in a self-directed and efficient manner, maintaining a professional demeanor under pressure. Willing to display a professional and collaborative attitude toward members and staff. Able to work independently and as a team player. Able to perform alphanumeric data updates and operate a ten-key calculator by touch. Good interpersonal and communications skills. Able to communicate verbally, visually, and in writing. Able to maintain confidential information. Access to reliable transportation for positions for which driving is necessary. QUALIFICATIONS Education: High school graduate or equivalent including commercial courses, or post high school business curriculum. College degree or certificate in business administration, accounting, or another related field preferred. Experience: Two to four years general office or administrative support experience, preferably in a finance/accounting and/or membership environment. Mid-level Microsoft Excel skills including the ability to perform VLOOKUPs, use pivot tables and filter and sort large amounts of electronic data. Experience working with accounting/bookkeeping software strongly preferred. Experience using SalesForce-based CRM and Microsoft Teams preferred. Non-profit and/or union experience preferred. OTHER INFORMATION Supervisory: The employee works under the general direction of the Controller & Membership Director and/or designee and is expected to operate with relative independence and a minimum of supervision in handling complex problems with initiative, creativity, and sound professional judgment. This position does not supervise other employees. Work Environment: This position is based at the OEA Headquarters location, in Portland, OR. This position is expected to stand, sit, and bend to perform routine office functions. This position is expected to lift five pounds (5lbs.) to ten pounds (10 lbs.)
