About the position: The Accounting Specialist works with the Controller and the Chief Financial Officer to ensure the smooth operation of the Finance Department. The Bookkeeper is responsible for various accounting transactions related to accounts receivable, accounts payable and the general ledger including but not limited to: reconciling invoices, posting payments, processing cash receipts, performing account reconciliations and communicating with customers and vendors. Reports to: Controller Supervises: N/A JOB SUMMARY: Accounts Payable (40%) Monitors expenses for company accounts; ensures company policy and standard accounting procedures are met Processes accounts payable, including data entry and coding of invoices, matching and batching. Completes settlements including those for credit cards, gift cards, and prepaid expenses by verifying information, researching un-posted items, posting settlement entries, and balancing ledger accounts. Verifies purchase orders, inventory receipts and employee expense vouchers. Processes employee reimbursable expenses and ensures proper coding. Processes vendor invoice payments, ensuring each check maintains the appropriate support, and providing copies of vendor invoices for contract billing. Prepares check runs for all approved vendor payments. Maintains vendor records, including acquiring W-9s from all vendors and contacting those who do not comply, as these are needed to determine which vendors qualify for 1099-Misc income forms. Accounts Receivable (35%) Performs day-to-day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables' data Processes checks and electronic payments received from Agency Shopping and grant billing. Prepares daily reconciliation of A/R to the general ledger, printing and mailing of invoices, investigation of open items, and generation of collection correspondence on past due accounts. Deposits and records cash receipts. Pulls donation information from online donation platforms (ex. Classy, Network for Good, WePay, PayPal, etc.) and providing copies to Development for processing in the CRM. Processes all community and foundation donations in the organization's ERP (Ceres) in a timely manner. Reconciles daily donations in CRM with amounts entered into Ceres. Scans all donation checks provided from Development to the bank. Creates a daily funds log of all checks, ACHs and credit card payments. General Ledger & Accounting Support (25%) Digitally files documents associated with AR/AP in the relevant databases. Prepares and posts journal entries into the general ledger Assists with monthly, quarterly, year-end closings and audits by processing as needed. Assists in developing and documenting processes and procedures to improve efficiency. Records postage and copier machine usage through a journal entry on a monthly basis. Maintains vehicle and organization registration schedules and contract renewal schedules. Assists clients and co-workers, both on the phone and in person, with accounting matters. Acts as primary back-up to Accounting Manager during absences. QUALIFICATIONS: Education, Training & Experience 5+ years' experience in bookkeeper or accounting clerk roles, or a combination of education and job-related experience. Associate's degree in Accounting or related field a plus. Knowledge, Skills & Abilities Strong proficiency with Microsoft Excel; including advanced Excel features such as pivot tables and vlookup. Technical accounting knowledge, including a strong understanding of debits and credits. Experience with general ledger reconciliation. Excellent attention to detail and accuracy in financial record keeping. Familiarity with governmental accounting practices (preferred) Strong interpersonal communication skills with the ability to communicate effectively and respectfully with people from different racial, ethnic and cultural groups and from different backgrounds and lifestyles. Excellent organizational skills. Ability to successfully manage multiple tasks and duties. Ability to apply principles of business finance and generally accepted account principles in a non-profit enterprise. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Job Details: This is a full-time, regular, non-exempt position with an hourly rate of $27.68 - $30.14 (annualized: $57,564 - $62,681), depending on education and experience. Hours are most commonly Monday-Friday from 8:00 AM - 5:00 PM, however occasional weekend and evening work may be required.
