Position Description: The Administrative Assistant will keep legal special education records such as IEPs and other educational records which will include filing and creating organizational systems, support with program coordination of services and service providers, maintain outside vendor records and support with the monthly invoice process, and other duties as assigned. FLSA Status: Non-Exempt Pay Cycle: 12 months Salary: Commensurate with Experience ($66,560-$70,000) Benefits: Medical, Dental, vision, Life Insurance, Retirement Plan Reporting: This position reports to the Director of Special Education Essential Functions: COMPLIANCE 25% Provides confidential services to the Managing Director of Student Services using discretion with frequent sensitive student issues, as well as matters of concern by department and ICEF employees. Assists in creating and overseeing scheduling to ensure mandated services compliance across each school site. Assists Managing Director of Student Services with operational and financial reporting (e.g. invoices, additional orders, Special Education budget, etc.), including tracking, compiling, and printing data as directed. Assists Managing Director of Student Services in all phases of compliance reviews. TEAM LEADERSHIP 20% Coordinates at the discretion of the Director of Special Education and school principals scheduling/organizing orientation activities and training for new hires of the specialized services department. Oversees the process of receiving special education student records of incoming students across ICEF school sites and preparing them for use. OFFICE MANAGEMENT 20% Maintains office operations and procedures such as answering and screening all phone calls, maintaining accurate records and maintaining sensitive student information, and supporting with retention, protection, retrieval, transfer, and disposal of all records. Other duties as assigned. STUDENT INFORMATION 20% Track accurate information for ICEF data bases including but not limited to Illuminate, IEP Platforms, 200/300 reports, PIRs, etc. Assists in scheduling and inputting student data. RELATIONSHIP DEVELOPMENT 15% Maintains close communication and a working relationship with vendor partners, county and district personnel, assistant principals, principals, ICEF administrators, RSP teachers, psychologists, general education teachers, counselors and other personnel. Job Requirements: Minimum Qualifications: EDUCATION and/or EXPERIENCE Bachelors Degree - preferred Applied Behavior Analysis (ABA) knowledge - preferred At least two-years of related experience in the field of Special Education. Skilled in Google, Word, Excel and Power Point - preferred SUPERVISORY RESPONSIBILITIES This position has no direct supervisory responsibilities. Must show proof and maintain a clear TB, DOJ and FBI Clearance. Must provide documentation of eligibility to work in US.
