Posting Date: 10/07/2024 Salary Range: $42,700- $62,300 (A/S-III) Work Location Type: Flexible On-Site (working more than 60% on-site) What your job will look like: As the CST Division Administrative Support Assistant, youwill utilize software for functional areas to compile and generate accurate reports, statistics, timelines, tables, graphs, correspondence, and presentations. Develop and implement processes to enhance and coordinate the division's workflow, special projects and events. Serve as back-up support to Division Administrators as needed. This position requires a dedicated incumbent acting at a high level of accuracy, confidentiality, efficiency, and strategic forethought. In this role you will: Provide administrative support for the CST Division Leadership with projects and event organization. Coordinate thecompilation and timely submission of the division's special projects and events. Develop and maintain a system for project oversight, action tracking, and reporting requirements. Work with the budgeting office to ensure projects remain on budget and within the correct project codes. Arrange and process domestic and foreign travel from request to reimbursement for staff, and visitors traveling to Jefferson Lab. Coordinateboth internal and external events, organize and oversee meetings, serve on local organizing committee as conference secretary,maintain status on actions andkeep chair. Develop and maintain the project and event web pages and ensure content and formats meet Lab standards. In collaboration with Project Managers and other personnel, ensure compliance of project requirements, assist with timekeeping, minutes, and action items, organize meetings and scheduling for reoccurring status meetings. Qualifications We Require: Education: HighSchool Diploma Experience: 5 years ofrelevant experience or Equivalent combination of education and experience. Experience working in a high-volume environment, adapting to competing priorities and multi-tasking. Proficiency using Microsoft Office 365 applications including, but not limited to Outlook, Word, Excel, SharePoint, and PowerPoint. Adept at document handling/editing using Adobe Acrobat., Demonstrated experience with front office reception responsibilities. Experience in website development and maintenance,Indico, or other event management software, preferred. Knowledge, Skills, Abilities: Demonstrated ability to oversee multiple projects with tracking action items, staying on deadline, scheduling status meetings with various stakeholders. Knowledge of or the ability to learn the relevant JLab Admin manual processes, analyze data/information, review processes as described in work instructions and determine how to communicate those instructions clearly. Must be able to work with the highest degree of integrity and professionalism when dealing with clients and confidential/business sensitive information. Excellent written and oral communication skills and attention to detail. Must be able to produce quality, easily understood documents for a variety of audiences, including some of a sensitive nature. Exceptional interpersonal skills. Must be able to work with others in a team atmosphere in order to contribute to the goals and objectives of Jefferson Lab. Highly organized and the ability to represent administrative functions appropriately in an executive environment.
