Purpose This position will assist the Sales and Project Management Team with a variety of clerical and administrative activities. The Sales Admin. Coordinator is responsible for ensuring the smooth flow of information and follow up for existing and prospective customers. Responsibilities Provide as required support to ensure timely and complete sales process requirements are met Assist Sales and Project Management team with the development of customer proposal package Track the return of the project service authorization. Support set up of new clients in ServiceTrax Maintain accurate files for each customer to include all related information Maintain customer information in ServiceTrax Manage the job file paper flow process maintaining accurate and timely information. Responsible for supporting purchase order process Responsible for supporting timely vendor invoicing; to include unbilled oversight, project file closeout, vendor PO closeout. Interface with external and internal customers through direct, phone, and electronics means Other administrative support responsibilities as deemed necessary. Requirements Skills and Abilities Demonstrated effective time management, and organizational skills. Excellent verbal and written communication skills Ability to work with members at all levels and in a team environment. Excellent follow-up skills and the ability to multi-task in a fast-paced environment Must be able to develop and maintain effective relationships through excellent interpersonal skills. Proficient with Microsoft Word, Excel, & Outlook Maintains appropriate professional business knowledge and demeanor. Ability to work independently Possess exceptional organizational skills, critical thinking, and attention to detail Basic mathematical understanding and skill Qualifications - Education & Experience Associate's degree (A.A.) or equivalent two-year college or technical school One to 2 years of customer service or sales support experienced preferred The equivalent of a combination of education and experience equal to 4 yrs.
