EOE: race/color/religion/sex/sexual orientation/gender identity/ national origin/disability POSITION SUMMARY: Support the activities and functional needs of Fleet Operations; prepare documents including invoices and work orders; assist suppliers and internal customers with invoice and fleet inquiries; maintain data information systems for Fleet operations and performs a variety of technical tasks relative to assigned areas of responsibility. SUPERVISION: Receives general supervision from the Fleet Manager. ESSENTIAL DUTIES: (includes but not limited to the list below) Assist with the activities and functional needs of Fleet operations including the collection, verification, input, and distribution of vehicle maintenance related information. Prepare documents necessary for the activities and operations of fleet including invoices, work orders, processed work orders for payment. Assist suppliers and internal customers with invoice and fleet inquiries; authorize the use of outside suppliers and repairs; assist mechanics in obtaining vehicle information. Perform office related duties in support of Fleet operations including records maintenance, processing, and retrieval. Perform data entry of commercial repair transactions, vehicle warranty information and transaction credits. Maintain and review computer data for validity and accuracy through the reconciliation of reports; prepare periodical or other reports as required. Maintain lists, logs, records, files and data, compute charges and post information to summary lists, logs, and records. Conduct inventory control procedures including inventory of fleet equipment and parts. MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS: High school diploma or GED Two (2) years' experience maintaining, processing, and retrieving records and preparing reports. PREFERRED KNOWLEDGE: Operations, services, and activities of a fleet maintenance program Modern and complex principles and practices of computer information systems Modern office procedures, methods and equipment including computers. Basic mathematical principles Pertinent Federal, State, and local laws, codes, and regulations PREFERRED SKILLS AND ABILITY: Perform mathematical procedures at a speed necessary for successful job performance. Interpret and explain fleet policies and procedures. Prepare clear and concise reports. Communicate clearly and concisely. Perform the essential functions of the job with or without reasonable accommodation. Operate office equipment including computers, enterprise-wide systems (i.e., Fleetio, Samsara, NetSuite, etc.), and supporting Microsoft Office software. Establish and maintain effective working relationships with those contacted in the course of daily work. WORKING CONDITIONS: Environmental: Office environment within vehicle maintenance shop; exposure to noise, dust, grease, oils, fuel, and exhaust fumes. Physical: Essential and supplemental functions may require maintaining physical condition necessary for walking and standing for prolonged periods of time.
